Position Summary

The Sales Operations Coordinator is responsible for the day-to-day review of the master schedule of events (the "BOOK") to ensure effective data management of all sales proposals and opportunities. The Coordinator will provide direct assistance to the sales teams and event services staff to facilitate the work. The role requires exceptional organizational and time management abilities, strong communication skills, as well as familiarity with sales processes and procedures. Responsibilities may include reviewing, auditing, making pricing recommendations, approving assigned requests for space and ensuring records are accurately documented in the event management system. As needed, this role will also perform a range of administrative duties, the operation of software systems and work collaboratively with internal and external staff, guests and stakeholders. This work will interface with internal and external individuals, clients, organizations, Visit Seattle and requires positive communications and considerable discretion, confidentiality, and initiative.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Support the preparation of Sales dates / space / rate proposals. Ensure consistent compliance with published procedures, protocols, and rate schedules.
  • Identify recommendations for improvements to the procedures and protocols to help facilitate the sales effort and secure bookings
  • Provide administrative support in the preparation of contract documents, such as draft, review, carefully proofread and audit license agreements, addenda, and amendments
  • Develop and prepare reports, forecasts, and other booking performance materials
  • Review returned contract documents for completeness, compliance and / or edits, and initiate the execution process
  • Develop a thorough understanding of the Center's event management system including the sales and booking components as well as the tangential components for event services, catering, and invoicing to better support the department's use of this system
  • Ensure that entered booking information in Center's event management system complies with the Center's and Sales booking and pricing policies, procedures, protocols, and guidelines
  • Recommend, create, document, and maintain up-to-date Sales business processes and desk procedures
  • Review existing processes and procedures periodically for possible revisions and make recommendations for implementation
  • Prepare written business correspondence and booking / financial reports for department and organizational needs and requirements and ensure maintenance of all records according to archive standards
  • Establish and maintain effective working relationships with other individuals to facilitate the flow of information between individuals and groups, present information and respond to questions from the Center's managers, clients, customers, and the general public
  • Maintain a thorough understanding of and successfully perform all duties, responsibilities, and department procedures in a calm, professional, safe, and effective manner
  • Perform work demonstrating successful skills in dependability, communications, customer, and co-worker service, planning and organization, job knowledge, judgment, and teamwork
  • Perform other related miscellaneous duties as assigned

While performing the duties of this job, the employee is regularly required to see, talk, hear, sit, stand, walk and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.


Minimum Qualifications:

  • Two (2) years’ experiences at a hotel or multi-use facility in a sales scheduling, event coordination or related position, with direct experience in maintaining a sales/scheduling related filing and tracking system.
  • Three (3) years computer experience involving word processing, spreadsheets.

Preferred Qualifications:

  • Associate Degree
  • Experience with Ungerboeck Event Management software.
