Regional Administrative Assistant in Phoenix, AZ
DEPARTMENT: Retail Store
REPORTS TO: Regional General Manager
POSITION: Non-Exempt/Hourly

The Regional Admin will ensure the Store Administrative Assistants in their region follow the procedures per Admin binder and store operation guidelines. The Regional Admin is responsible for ensuring all stores have the same consistency in process, procedures, customer service approach and accuracy before sending all reports and documentation to Regional General Managers. This role is versatile and will step-in to support the Store Admin during their absence as well as be customer-facing, train and mentor Store Administrators on new Accounting, HR and Online Store updates and processes. This role requires travel to the assigned set of stores on a constant basis.
WHAT YOU WILL DO
  • Ensure consistency of all stores under the Regional Admin Assistant are following procedures and processes on matters ranging from customer service, sales reporting, record keeping for Human Resources, Accounting on Online orders supporting the Regional General Manager.
  • Understand, adhere and train our company policies, procedures and be proficient enough to help store staff with questions on policy and procedures and training Store Admin.
  • Support reconciliation of Daily Transaction Listing and other daily, weekly and monthly processes for all stores in their region are submitted in a timely and accurate manner.
    • Ensure all reports going to Regional GMs are properly compiled, timely and accurate and all online transactions are completely correctly.
    • Work with the Store Managers and Store Admin on any accounting anomalies or irregularities and support on balancing daily case, bank deposition, sales auditing, online, financing and warranty matters.
    • Support store level and regional vendor checks including vendor quotes through Cobblestone software, ensure all needed documentation is provided in a timely manner and per company standards.
  • Assist in regional and onsite safety and HR matters including and not limited to:
    • All stores under the Regional Store Admin submitted on time biweekly payroll including PTO requests, clocking-in and clocking-out and that excessive overtime, excessive absences and other safety matters are reported immediately.
    • Support recruiting, interviewing and onboarding of new associates and onsite orientation and support safety trainings.
    • Oversee correct execution of new procedures, operations and HR updates and ensure consistent adaption across all stores.
  • Assist the Regional General Manager with reconciliation of delivery and furniture tech repair billing by being the point person for communication between the stores and the region's service providers.
  • Attend Biweekly (monthly) regional Admin meetings.
  • This role is a mixture of management, leadership through to data entry, customer service and on the ground, regional support of our stores and localized administrative functions.
  • The Regional Administrative Assistant will be onsite as a the in-store Admin for one location and manage all Store Admin within the region.
  • Perform other duties or special projects when assigned.
Who You Are
  • Love retail, helping customers and colleagues and managing a team and very organized and enjoy being detail oriented.
  • Prior supervisory experience preferred and someone who works with others to achieve goals, wants to work productively as a team to create an honest, fair and ethical working environment.
  • Enjoy problem solving, naturally curious, can work under pressure with customers, support online sales, HQ teams and colleagues.
  • Familiar with general accounting principles and standards, general administrative duties, light bookkeeping and able to read and understand work orders, shipping and receiving paperwork.
  • Fine with 10-key, computer skills, MS Office, HRIS software, CRM, Social Media platforms, accounting systems and software and strong written and verbal communication skills for addressing customers and colleagues.
  • A valid driver’s license is preferred.
  • This job operates in a retail store and office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.
  • Prolonged standing and sitting, walking in store and warehouse and some lifting, pushing and pulling of furniture up to 30 lbs. unassisted.
  • Working hours will include weekends and holidays and will require flexibility.
  • Occasional overtime might occur and weekend work and travel to other locations is required.
  • Our positions require successfully completing the pre-employment background check and signing a nondisclosure agreement.
Education: High School diploma or equivalent GED, +3 year’s work experience in a related field for administration and or retail administration preferred.
