The Referral Specialist is responsible for ensuring accurate processing of all referral requests by providers, clinical staff, and occasionally patients in a timely and professional manner. The Referral Specialist will represent TVC in a positive, courteous, and compassionate manner and aid in the delivery of high quality health care to all patients. Contributes to the success of the clinic by providing prompt, efficient, and friendly service via in person or over the phone.
Schedule: Monday – Friday 8:00am to 5:00pm at Park Plaza. Opportunity to become remote after successful completion of training and meeting requirements.
ESSENTIAL FUNCTIONS and RESPONSIBILITIES:
  • Confer with Patient Services Representatives and/or clinical staff to obtain clinical documentation.
  • Cross train within assigned cell for management of multiple department referrals.
  • Call patients and coordinate appointments.
  • Efficiently manage department specific work queues including but not limited to:
  • Ready to schedule
  • Needs review
  • Incoming needs review
  • External ready to schedule
  • Update RTE/Registration.
  • Maintain department specific work queues including but not limited to:
  • Interpreter scheduling
  • No show / late cancel report
  • Care team report
  • Patient work queues
  • Proactively scrub provider schedules for access and availability. Paying close attention to gaps in schedules and make effort to fill schedules.
  • Efficiently manages correspondence with patients, providers, insurance companies.
  • Ensures insurance carrier documentation requirements are met and support documentation is filed in patient medical record.
  • Report issues and/or abnormalities in workflow to Referral Supervisor / Manager.
SKILLS AND ABILITIES:
  • Excellent customer service and telephone skills required.
  • Ability to problem-solve and provide excellent follow through.
  • Must be flexible, able to efficiently multi-task, and prioritize work independently.
  • Must possess a positive attitude, good organizational skills, and willingness to work in a team environment.
  • Proficient with MS Office Applications.
  • Understanding of medical office practices and medical terminology required.
EDUCATION AND EXPERIENCE:
  • High School diploma or equivalent required.
  • Associates Degree preferred, or equivalent combination of applicable education and experience.
  • Minimum of two years’ experience required in a healthcare office setting or in the health insurance industry.
  • Demonstrated experience and knowledge of insurance requirements for referrals.
