Position Overview

Under direction, the employee maintains a log of all radio traffic and computer inquiries. Checks for criminal history when an application is made for pistol permits. Conducts warrant checks and maintains jail sheets. Establishes and maintains files, keeps records, and performs NCIC computer operations.

Essential Duties and Responsibilities

(All duties listed may not be included in any one position nor does the list include all tasks found in a position of this class.)

  • Obtains vehicle registration and driver's license information. Inquiries on subjects for wanted persons.
  • Checks weapons, articles, vehicles, etc., as possibly being stolen.
  • Obtains phone numbers and addresses and maintains a written log of all radio and computer transactions.
  • Check subjects for warrants (in computer, in-house files, or with other agencies) when they are booked into the jail and before being released.
  • May also check in-house files for warrants on subjects for other agencies.
  • Obtains information from the subject's files for deputies, investigators, and other agencies.
  • Processes and maintains all paperwork on subjects that are arrested.
  • Correctly codes the subject's information and creates and maintains those files.
  • Seals file when a subject is granted youthful offender status by court order.
  • Maintains records of all convicted sexual offenders, obtaining fingerprints and photos for community notifications. Registers all individuals of felony crimes.
  • Enters stolen articles, weapons, vehicles, and wanted persons in the National Crime Information Center computer.
  • Submits requests and responds to law enforcement agencies to verify information on a stolen property or wanted persons.
  • Sends teletypes to one or more agencies requesting assistance in locating persons or property.
  • Enters subject's information into RMS computer, coding each arrest properly. Maintains written log on all computer transactions.
  • Performs local background checks on subjects for employers, and other law enforcement agencies, security clearances, and when a subject applies for or renews a pistol permit.
  • Must process and maintain all paperwork on subjects that are arrested.
  • This consists of coding each individual's paperwork and creating files. Information on each subject must be entered and coded correctly into the computer.
  • Printing of the subject's paperwork for the file is done after each arrest.
  • Maintains subject's files; Obtains information from subject's files for deputies, investigators, and other agencies. All information received on a subject must be coded and filed. Must also keep records of all individuals convicted of felony crimes.
  • Make nationwide computer entries of stolen articles, weapons, vehicles, wanted persons, etc. Submits requests and responses to other law enforcement agencies to verify information on a stolen property or wanted persons. Sends teletypes (messages) to one or more agencies requesting assistance in locating persons or property wanted by Madison County Sheriff's Office.

Education, Experience, and Qualifications

Education and Experience

  • Any combination of education and experience equivalent to Graduation from a high school or GED.
Knowledge, Skill, and Ability
  • Knowledge of telephone, typing, filing, and computer operations.
  • Ability to communicate effectively with the public in person, by phone, and with deputies using coded language.
  • Must be able to operate a radio and understand and convey messages as needed.
  • Must speak clearly and concisely.

Physical Requirements


  • Ability to cope with a highly stressful environment and maintain sound judgment.
  • Must be able to lift up to 50 pounds from time to time.
Certifications or Licenses Required
  • Required to receive certification in N.C.I.C.
Other Requirements
  • Must be able to pass a drug screen and criminal background check.
Work Schedule
  • 8:00 p.m. to 8:00 a.m.
  • Rotating Every Other Weekend
  • Must be available to work nights, weekends, and Holidays.
