SUMMARY

The Project Coordinator is responsible for programmatic management as well as coordination and compliance. They should be able to work closely with the Program Manager, Project Managers/Team Leads, and the employees to create comprehensive action plans. The Project Coordinator should be able to fulfill various duties and responsibilities. They will perform a variety of coordinating activities such as scheduling projects and deadlines, tracking training mandates, work with clearance approvals, and assist with onboarding new hires. They will frequently provide subject matter or functional area expertise in travel regulations, work closely with employees and government to create Travel Authorizations, and obtain approvals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Programmatic Management
    • Assist with creating/assembling Monthly Deliverables to government.
    • Produce and report on metrics for financial and staff utilization management.
    • Work closely with customers to apply best practices in management, financial reporting, invoicing, EVM, and ensure timely delivery of periodic deliverables.
    • Ad hoc Team Lead and employee support (up to 30% of daily workload).
  • Travel / Expense Reports / Timesheets / Training - Coordination and Compliance
    • Provide requested documentation or reports as needed to include DOS and Cherokee requests such as employee verification, travel/expense report backup, and tracking of training mandates.
    • Provide Travel/Invoice/Expense Report guidance, interview coordination, payroll coordination, timesheets, etc.
    • Review and approve expense reports and timesheets (requires familiarity with federal standards for travel, per diem, and other topics related to expense and time reporting).
    • Monitor timesheet compliance for employees across corporate accounts supported by PMO.
    • Develop and maintain relationships with employees, particularly with managers and team leads, to provide them a “front office” contact point for all corporate concerns that may arise.
    • Assist Program Manager and Deputy Program Manager in developing financial plans and budgets to monitor funding.
    • Prepare ad hoc reporting as needed to assist management in decision making related to financial reports, burn charts, and other contract support.

    • Fulfill various duties and responsibilities.

SUPERVISORY/MANAGEMENT AUTHORITY

No supervisory or management responsibilities

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree preferred.
  • Three (3) to five (5) years’ experience serving as an analyst in planning, developing, coordinating, and conducting analyses for overall operational efficiencies/inefficiencies, program-related trends, effectiveness in achieving planned goals, objectives, and milestones, and effective budgetary/resource utilization.
  • Familiar with Federal Travel Regulations such as Federal Travel Regulations (FTR), Foreign Affairs Manual (FAM) and associated Handbooks (FAH), and Fly America Act. Assist with interpretation and guidance of these travel regulations.
    • The Foreign Affairs Manual (FAM) and associated Handbooks (FAHs) are a single, comprehensive, and authoritative source for the State Department's organization structures, policies, and procedures that govern the operations of the State Department.
  • Experience with travel booking and expense reporting applications such as E2 or Concur.
  • Experience with assisting employees in creating expense reports after travel has occurred.

KNOWLEDGE, SKILLS AND ABILITIES

  • Must be a US citizen.
  • Possess at a minimum a SECRET clearance.
  • Must be proficient in current Microsoft Office Suite to include Outlook, Word, Excel, and SharePoint programs.

WORK ENVIRONMENT

  • Work is performed in a secured federal office environment.

Cherokee Federal has suspended it’s COVID mandate. Executive Order 14042 is currently not subject to enforcement by the Federal government.
