Job Description

To work closely with project managers and the business unit manager on various initiatives and tasks to help make projects run successfully and deliver client goals. The Project Coordinator will track client sales orders, vendor purchase orders, and communicate daily with project teams (including internal team and external vendors). Assist with administrative tasks as needed.

Responsibilities

• Support Business Unit manager in administrative functions and processes
• Coordinate interviews with applicants within the business unit
• Initiate new project setup in the company’s systems, and issue purchase orders to vendors
• Assist and collaborate with project managers, business unit managers, and other team members to communicate project updates, activities, or issues

• Coordinate project documentation per company processes
• Coordinate, attend project meetings; keep meeting minutes and follow up with attendees afterwards
• Receive and file time sheets, field tickets, and other project documentation for project team members
• Assist accounting and project leads with monthly billings and project reports
• Coordinate vendor orders, shipments, and documentation for projects

Customer Service: Always looking for a way to help customers and co-workers; team player mindset is critical

Communication (Written and Verbal): Be able to communicate well and professionally with customers, vendors, managers, and team members

Judgement: Must be able to exercise independent judgment and discretion on certain decisions

Software systems: Efficiency in a variety of operations tools, including accounting and project management systems

Requirements

• 2+ years of experience
• Must be legally eligible to work in the U.S. and have a stable work history. Sponsorship is not available
• Stable work history
• Must be able to pass a drug and alcohol screening

Physical Requirements

• Ability to lift 10-15 pounds regularly
• See, respond, and report to dangerous situations
• Sitting for extended periods. Bending, reaching, kneeling, and use of a step ladder at times
