Robinson Construction has a need for a Project Administrative Assistant at our office in Perryville, MO to support our project management team.

Robinson Construction is a Design-Build General Contractor specializing in the completion of process-intense manufacturing facilities throughout the United States. Our clients include industrial manufacturing; food grade processing plants, chemical and processing; power and renewable energy; and mining industries, as well as federal, state, and municipal agencies.

ESSENTIAL RESPONSIBILITIES:

  • Performs day-to-day office tasks and administrative support including but not limited to scheduling meetings, organizing luncheons, organizing meetings, takes meeting notes, and arranges virtual meetings.
  • Assists multiple Project Managers at a time.
  • Creates project correspondence, makes copies, handles mail and shipping, etc.
  • Writes purchase orders, write agreements with sub-provider, and processes invoices.
  • Expedites suppliers and sub-employers.
  • Processes shop drawings.
  • Assembles project operational and maintenance manuals.
  • Maintains project documentation according to client and company guidelines.
  • Performs electronic filing and/or record keeping.
  • Fosters a positive relationship and effective lines of communication with client, subcontractors, site team and corporate office.
  • Performs other duties as assigned in order to accomplish project efforts.

EDUCATION / EXPERIENCE:

  • High School Diploma or equivalent and 3 years of administrative/clerical experience in an Engineering or Construction work environment preferred.

KNOWLEDGE / SKILLS / ABILITIES:

  • Knowledgeable in Microsoft Word, Excel, and Outlook required.
  • Demonstrated ability to set up and maintain project, document control or departmental filing systems and procedures. Previous experience with ProCore or similar electronic document management systems preferred.
  • Professional oral and written communication skills.
  • Must be proactive, use individual initiative, follow assignments through to completion, and be attentive to detail, quality control and deadlines.
  • Strong interpersonal skills and proven record as a team player required.
  • Ability to perform multiple tasks, and adapt to changing priorities.
  • Good organizational skills.
  • Ability to type accurately; ability to format properly.
  • Ability to work at a computer for long hours in an office environment.
  • Ability to work overtime, when needed.
