Role Summary


The Program Assistant performs a variety of skilled administrative and clerical duties in direct support of the office.


  • Work collaboratively with any and all service delivery staff and all inter and intra-agency personnel to ensure the exchange of needed information relevant to contractual compliance, areas of audit risk, the completion of required billing and documentation, and the offering of staff support and training.
  • Attend and participate in all regularly scheduled department and agency staff meetings and trainings.
  • Able to establish and maintain appropriate rapport, boundaries, and systems of support with any and all inter and intra-agency staff, supervisors, representatives and administrators.
  • Demonstrate an ability/fitness/competency to work professionally and independently with limited supervision, as well as an ability to exercise professional discretion and independent judgment based on training, education, experience and personal creativity.
  • Demonstrate professional and effective communication abilities, including the completion of written reports, letters, trackers, plans and emails, and initiating verbal communications with service delivery staff, supervisors, administrators, and any and all inter and intra-agency personnel.
  • Work collaboratively with any and all inter and intra-agency personnel in a manner that is culturally competent and adhere to the philosophy, mission and vision of Lilliput. Understand and uphold best practices and trauma-informed services in an effort to meet the needs of abused, neglected and struggling children/families, and inspire the qualities necessary for children and families to succeed.
  • Maintain client confidentiality in accordance to Lilliput’s policy and procedures, respective county guidelines and any applicable state regulations. Also adhere to any and all county/state Mandated Reporting obligations.
  • Provide direct service to clients as needed.
  • Report any incidents/accidents according to incident reporting procedures and protocols, within designated timelines as outlined in the reporting procedures. Ensure staff is knowledgeable of and adhere to the reporting procedures and protocols.
  • Promote the Continuous Quality Improvement (CQI) process by identifying quality indicators and opportunities for departmental and organizational process improvement.
  • Perform other duties as may become necessary or as directed.

Qualifications

  • At least 5 years of office/clerical work experience. Experience in a social services setting is strongly preferred.
  • Must meet all required health screening and criminal record clearances and possess a valid California driver’s license, insurance and acceptable DMV record.
  • Bachelor’s degree in a related field from an accredited college or university preferred.
  • One year of experience working within a contracted and/or directly-operated Shasta County Department of Mental Health program that serves high-risk youth, adolescents, and families is preferred.
  • Proficient in the use of Microsoft Office, specifically Word, Excel and Outlook.
