Overview:
The Program Assistant I is responsible to assist with bilingual clients found eligible for the child care subsidy-New Jersey Cares For Kids.

Schedule: 35 Hours Per Week

Hourly Rate: $18.00
Responsibilities:
  • Responsible for any technical assistance needed for new families
  • Review of eligibility, family’s child care needs are part of tasks required with this caseload
  • Follow contract driven customer service techniques so that parents and providers are given appropriate technical assistance
  • Write and send preliminary and final agreements for families
  • Enter child care agreements onto CARES
  • Creation of subsequent attendance logs to be mailed to child care provider
  • complete maintenance of cases managed on the NJCK system
  • Assimilation of the regulations and procedures under which these programs operate
  • Assess program eligibility for any subsidy case including the Kinship program, basic math skills needed
  • Responsible for learning state software (CARES; EPPIC)
  • Update client addresses in CARES and NDS for accuracy purposes
  • Utilize Work Life Systems (WLS) for client information, technical assistance entries and general case documentation
  • Accurately track and act on all paperwork due dates
  • Process of re-determinations and issuance of termination notices as necessary
  • Manage child care problems and/or complaints about/from providers
  • Communicate effectively with parents and providers regarding program regulations
  • Communicate effectively with providers regarding program regulations/payment issues
  • Conduct payment analyses to resolve payment discrepancies
  • Advise providers about payments made as needed
  • Review periods of service with providers so paper attendance logs can be created for payment purposes
  • Show due diligence to prevent duplication in the issuance of vouchers to providers for payment purposes
  • Distribute all pertinent information to providers about discrepancies (i.e.: denial or issuance of attendance log)
  • Enter adjustments in EPPIC (E-child care software)
Secondary Responsibility:
  • Receptionist duties as necessary when the reception area is unmanned
Qualifications:
High School Diploma Required/Associates Degree Preferred

Two to three years proven experience working in a professional office environment.
