Position Description

The full time, exempt Practice Manager is an essential member of a high performing team providing leadership to staff through supervision of the front desk personnel, and clinical support staff and is responsible for managing the daily operations of the practice, also known as the health center. This includes management of clinical and administrative functions and processes, under the direct/indirect supervision of the Director of Clinical Services, Chief Operations Officer, and Chief Medical Officer. Will oversee service delivery and the implementation of new strategies, collaborate and lead assigned projects within the center, and provide the ongoing management of services. The Practice Manager is also responsible for maintaining excellent patient satisfaction, clinical outcomes and productivity of the practice.

This position reports primarily to the Director, Clinical Operations. Our standard hours are 8:30am- 5:00pm, Monday- Friday. Schedule may vary by site. This position is for our Pontiac location.

Responsibilities

  • Supervise and provide direction for front office staff, Medical Assistants, and other support staff assigned to the health center, in conjunction with the primary Medical leadership.
  • Lead the day-to-day operation and coordination of patient care services.
  • Lead the health center to maintain and improve patient, provider, and staff satisfaction.
  • Assure compliance with applicable service standards, including Patient Centered Medical Home (PCMH) and HRSA regulations.
  • Manage medical appointment schedule to optimize patient access.
  • Develop and maintain support staff schedules, to ensure appropriate staffing coverage to match medical staff and patient needs, in coordination with Senior Manager as needed. Approve time cards and personal time off (PTO) requests for staff.
  • In collaboration with the Chief Medical Officer and/or the Associate Chief Medical Officer, approve time cards and personal time off (PTO) requests for clinicians at assigned health center.
  • Assist in the recruiting, hiring, orientation, development and evaluation of clerical and medical assistant staff and other staff as assigned.
  • Responsible for collecting, analyzing and reporting all practice operational data, including productivity and compliance. Monitor patient and staff data to measure the effectiveness of patient care.
  • Perform clinical and administrative duties as needed to assist staff during personnel shortages.
  • Perform triage functions, addressing patient calls that include clinical concerns, daily.
  • Ensure medical equipment is cleaned, disinfected, sterilized and maintained according to standards.
  • Assures CLIA and OSHA standards are followed and documented appropriately. Adhere to approved company policies, procedures and philosophies.
  • Report to health center clinicians for all issues or concerns that are outside of scope of training or when best practice is unclear.
  • Establishes maintains and documents an efficient and responsive patient workflow system.
  • Assist in developing strategic and management plans for the practice to enhance business growth.
  • Supports, upholds and implements established policies, procedures, objectives, quality improvement, safety, environmental and infection control, and codes, and requirements of accreditation and regulatory agencies.
  • Collaborates with other practice managers, Director of Clinical Services and Chief Operating Officer to ensure policies and procedures are consistently upheld across all sites.
  • Apply evidence-based healthcare practices and nursing standards to all work as applicable.
  • Perform administrative duties as delegated by medical leadership for the daily operations and management of the health center.
  • Provide excellent customer services to all patients, staff, and community partners. Serve as the liaison/point of contact for core provider ensuring collaboration to promote excellent outcomes for patients.
  • Maintain either directly or through delegation, the inventory, ordering, stocking and maintenance of all exam room medical supplies, clinical equipment/instruments, medications including vaccines, etc.
  • Performs other duties as assigned.

What are we looking for?

  • Bachelor's degree required. BSN preferred.
  • Will consider 10 years minimum leadership experience in health care field
  • Minimum 3 years of experience managing in a health care setting
  • One year of managing experience, including supervisor required.
  • Must maintain BLS Certification through the American Heart Association.
  • Strong computer skills with experience using Electronic Medical Records (NextGen preferred) and knowledge of Microsoft Office and internet.
  • Experience working with an FQHC preferred
