Role Objective

Dumont PARTS is currently seeking a full-time Aircraft PARTS Sales Administrative Assistant for our PARTS Sales Department who will provide administrative support to the Dumont PARTS division.

Essential Job Functions

  • Work with external customers to ensure data on file and for orders is accurate
  • Track customer payments, including processing credit card payments
  • Work with customers related to information requests, Proformas, and shipment tracking
  • Liaison for accounting when customer requests payment terms and help to follow up on outstanding accounts receivables
  • Compile weekly sales report
  • Manage open item report
  • Manage eblasts/Mail Chimp
  • Manage and maintain client contact information and distributions for eblast and marketing campaigns
  • Upload inventory to online databases
  • Create RFQ for repair pricing for product when needed
  • Coordinate with MRO to track outstanding order information for process completion
  • Maintain rental lease agreements and issue monthly rental billing invoices
  • Complete various administrative duties including light filing and scanning, and ordering supplies
  • Special Projects as given and other responsibilities as assigned
  • Process of RMA's (Parts Returns) with follow up process of adjudication

Work Environment

  • Work is generally performed within an office environment, with standard office equipment available, as well as at outside customer events

Physical Demands

  • Must be able to remain in a stationary position 50% of the time.
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Constantly operate a telephone requiring oral and auditory capacity enabling interpersonal communication.
  • The person in this position frequently communicates with customers and must be able to exchange accurate information in these situations.
  • Light physical effort required by handling objects up to 20 pounds occasionally and/or 10 pounds frequently.
  • Ability to move from department and buildings to interact with others

Travel

  • Less than 5% travel required

Required Education/Experience

  • High School diploma required
  • Some college preferred
  • Bachelor's degree preferred but not required
  • Aviation Parts and Component experience a plus

Work Authorization

  • Must be authorized to work in the United States of America
