If you are looking to grow within a company start here! The basic function of this position is to provide administrative support to the Corporate office and Operations teams. The support includes but is not limited to ad hoc reporting and analyses, developing presentations, administering information and data, and general office responsibilities. This position will be 32-40 hours per week, so can be part time or internship!

What will you do in this role?

  • Represent Novo as first point of contact, whether by phone or by receiving visitors, and does so in a courteous, attentive, and professional manner.
  • Properly screen and direct callers and visitors, ensuring Novo’s high standards of customer service and workplace security are met and maintained.
  • Administer visitor log-in procedure, facilitating the safety and security of Novo’s staff and facilities, alerts management to any potential concern.
  • Administer key cards to staff members.
  • Oversee the general lobby area to present an orderly, professional, and welcoming environment; keeps socialization and disruption to a minimum. Communicate the need for extra cleaning services if needed to present a welcoming and inviting first impression when entering our facilities.
  • Assist with upkeep and cleanliness of Conference Rooms for meetings and guests.
  • Sort and distribute incoming mail by department throughout the facility. Mail invoices and statements to our customers.
  • Maintain office supplies inventory including toner and paper for all departments and printers throughout the building.
  • Maintain postage machine and meter; post outgoing mail daily.
  • Assist with company social events, mass mailings, and other special projects as requested.
  • Keep “First Aid” boxes well supplied. Refill heavily used items between reorders if necessary, monitoring use and noting excessive replenishment needs to minimize waste.
  • Oversee the break room and Corporate kitchen area for cleanliness and requests coffee supplies from vendor if needed. Notify the vending company of any issues.
  • Assist with accurate tracking of corporate equipment leases from quote to lease end, including equipment changes and lease-end notifications.
  • Coordinate purchase orders for Operations.
  • Manage E1/Corporate Petty Cash and reporting.
  • Generate reports and analyzes data for Operations and Logistics departments as needed using reporting tools such as MITS, SQL, Qlikview, and Cloudsuite

What are we looking for?

  • Proficiency in Microsoft Office programs including Word, Excel, Access, and Power Point.
  • Flexibility, good time management, and ability to multi-task without losing focus on job at hand
  • Accuracy, organization skills and attention to detail
  • Analytical and problem-solving ability to ensure accurate and complete reports
  • Skill in keeping and balancing records for expenses, and cash distribution.
  • Confidentiality is a must due to the sensitive information that is addressed by this position
  • Ability to communicate effectively and courteously with co-workers and management
  • Good interpersonal skills, including ability to communicate effectively in English (written and oral)
Preferred Qualifications
  • Some college preferred with emphasis on business administration, Supply chain, logistics and Operations.
  • Two to three years’ experience in administrative support field.
  • Ability to communicate in Spanish
