Essential Functions:

  • Manage special projects, as assigned
  • Collaborate with Legal Affairs staff to identify system and practice improvements in the organization and develop solutions
  • Contribute to the preparation of policies and procedures in the National Office
  • Facilitate the flow of key information to National Office staff, Affiliate Office staff, and vendors serving the Legal Affairs office
  • Ensure affiliate charter compliance with legal and governance and other chartering standards by coordinating collection of affiliate governance documents, including updates to affiliate articles and bylaws, chartering agreements, license agreements, and litigation reports
  • Serves as key point of contact for Office of Legal Affairs
  • Provides executive administrative support for attorneys, including but not limited to drafting correspondence, invoice and expense processing including budget monitoring, coordinating meetings and meeting resources, making travel arrangements, arranging schedules, and returning phone calls
  • Provides general staff support on all key assignments such as preparation for board meetings, ensuring various time-sensitive documents are completed and delivered, tracking project and reports, and performing basic legal research
  • Creates and manages department files of correspondence, records, minutes, budget, reports, and financial documents
  • Completes government forms and filings, including reviewing Federal Register regularly for government grant opportunities and changes in compliance requirements
  • Assist with management of the legal services agreements and task orders with the outside counsels.
  • Serve as the point of contact for all vendors providing services to the Legal Affairs office
  • Maintain the Legal Affairs office webpage

Experience and Minimum Qualifications

  • Bachelor’s Degree or equivalent years of related work experience
  • Three to five years relevant legal or governance experience
  • Strong computer skills and experience in Microsoft Office, particularly with high proficiency in Excel and Word; experience with PowerPoint
  • Must demonstrate very strong written and verbal communication and interpersonal skills
  • Sound decision-making ability; ability to maintain confidentiality
  • Superior organizational, analytical, and time management skills required; ability to handle multiple tasks simultaneously and effectively manage shifting priorities; and exceptional attention to detail and follow-up capability
  • Must have a bias for action, strong work ethic, professionalism, customer orientation, and the flexibility to work in a team environment or independently, and under pressure successfully
  • Must have project management skills
