Your Role in the Company

The primary purpose of your job position is to assume responsibility for clerical functions in the business office as assigned as well as ensure adequate and appropriate staffing of the facility nursing department to meet the needs of the residents based on budget, census, and as directed by facility administration.

The Elements of the Position

  • Ability to type accurately and use computer systems required for performance of job duties.
  • Maintain a current listing of all resident care employee phone numbers.
  • Assist employees in accurate completion of forms i.e., leave and day off requests, time cards, etc. pertinent to scheduling and staffing.
  • Answer employee calls regarding staffing/scheduling functions. Prepare written correspondence as necessary.
  • Maintain accurate and organized accounts payable files.
  • Ability to process invoices accurately according to facility coding guidelines and procedures.
  • Prepare and submit accounts payable on a timely basis as required and directed.
  • Prepare and maintain time cards and time sheets.
  • Verify hours worked and calculate accurate payroll earnings and deductions.
  • Prepare and distribute payroll checks.
  • Maintain employee health insurance records.
  • Calculate and record vacation, holiday, sick leave, authorized overtime, leave of absence and termination pay.
  • Investigate salary complaints and notify supervisor.
  • Maintain an effective, organized, efficient payroll system to meet the needs of the facility.
  • Prepare and submit accurate, complete payroll reports on a timely basis as required.
  • Process correspondence related to payroll.
  • Maintain accurate payroll records for all facility staff.
  • Maintain accurate, neat, organized files of all payroll to ensure prompt retrieval.
  • Prepare and maintain time cards and time sheets.
  • Ability to file accurately.
  • Ability to prepare reports as assigned.
  • Observe all facility policies and procedures.
  • Perform all duties assigned in an effective, timely manner.
  • Observe facility safety policies and procedures.
  • Ability to receive and transfer telephone messages accurately and politely.
  • Accept assigned duties in a cooperative manner.
  • Assume accountability for all data contained in the employee’s handbook
  • Ability to keep employee and resident information confidential.
  • Come to work in neat, clean attire and consistently present an appropriate professional appearance.
  • Come to work as scheduled and consistently demonstrate dependability and punctuality.
  • Consistently work cooperatively with residents, residents’ representatives, facility staff, physicians, consultants and ancillary service providers.
  • Must be able to push, pull, move and/or lift a minimum of 25 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.

Education

Must possess, as a minimum, a high school education or its equivalent. Associates Degree preferred but not required.

Experience

Prefer experience in healthcare office setting.
