Red Envelope is seeking a part-time Office Assistant for a nonprofit that works together with the local church and other like-minded partners to raise up lifelong followers of Jesus through a variety of youth programs.

The Office Assistant position requires a “hands-on” person to perform daily office management functions including but not limited to restocking/reordering, mail intake, accepting deliveries, payment of contractors and monthly bills, monitoring of building systems and needed repairs. S/he will oversee building systems contracts and maintenance including HVAC, landscaping, and janitorial. S/he will work to maintain a problem free work environment.

Responsibilities:

  • Prepares annual office management budget for review by supervisor.
  • Answers office phone when in office, daily retrieves voice messages and checks corporate email account daily and handles the requests or forwards the requests to the responsible parties.
  • Manages the Buildings, Grounds, and Systems to ensure a well running, problem free building for employees, guests and visitors. Systems include Security Systems, Exterior Lighting, Parking Lot areas
  • Maintains good working relationships with vendors and contractors.
  • Sources price quotes for printing needs such as employee business cards, annual reports, other communication materials and/or helps to produce/design those materials in house.
  • Manages inventory and purchase of lighting supplies, office printers and copier supplies, kitchen and bathroom supplies.
  • Manages maintenance contracts for landscaping, HVAC systems, Copiers / Printers, Document Shredding, Janitorial.
  • Issues and stores keys.
  • Ensures delivery of outgoing mail to courier or post office and retrieves incoming mail from PO Box.
  • Update, monitor and manage archival documents.
  • Helps facilitate all staff meetings by setting up and running the technology and systems required for meetings, ordering any needed food and printing any needed materials for distribution.

Fundraising Responsibilities

All employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of the organization. These activities will include fundraising events, donor contacts and other opportunities as provided.

Requirements:
  • Must be High school graduate; Some college preferred.
  • 5+ years progressively responsible experience in related field, i.e., building and facilities management/or facilities management (additional education may be substituted for some experience).
  • Microsoft Office skills including Outlook, Word, Excel, Access, and Outlook.
