We are looking for a responsible, organized, and detail-oriented individual with prior administrative/office assistant experience, to join our Foodland Human Resources team as Office Administrative Clerk.

This is a full-time, hourly position with excellent benefits (specifics based on classification and position and is subject to eligibility period). The position reports to the HR Business Partner(s) and/or Assistant Director of Human Resources and is based at our corporate office in Honolulu, Oahu. Flexible work schedule, some overtime may be required.

The Office Administrative Clerk position plays an integral role in contributing to an efficient operation of the department by providing administrative support to the Human Resources Team. The job performs arrange of general and specific office/clerical tasks includes but not limited to entering data, maintaining employment records, sorting and distributing incoming/outgoing mail, answering phones, and filing.

The successful candidate will be reliable, detailed-oriented, self-motivated professional with excellent organization skills, and work directly with the team to ensure the entire department is run efficiently.

Essential Job Functions:

  • Ensure that each customer (includes store employees and corporate office staff) receives outstanding customer service by providing a welcoming environment which includes greeting and assisting every customer that may come through by phone, email, and/or in person
  • Maintains and/or creates file or record keeping systems.
  • Sorts, labels, files and retrieves documents, or other materials.
  • Copies and collates documents, sends emails, faxes and performs similar office tasks.
  • Supports department staff and acts as an assistant on various tasks
  • Maintains office supplies and materials for department
  • Assists department with filing, scanning, and data entry tasks
  • Assists department with support for new hires attending orientation
  • Assists department with distribution support of uniforms for employees
  • Receives calls, takes and relays messages, responds to requests for information; provides information or directs caller to appropriate individual within the department and or corporate directory
  • Responsible for daily activities including but not limited to printing new hire packets, mailing employee correspondence, filing permanent copies.
  • Assists with special projects and duties as assigned.

Experience/ Training/ Education:

  • High School Diploma or equivalent
  • 0-2 years of office or business administration experience.
  • Requires basic computer skills, including familiarity with Microsoft word, excel, and outlook software, as well as other general office skills.

Knowledge/ Skills/ Ability:

The Office Clerk must have the ability to organize and prioritize numerous tasks and complete them under various time constraints; Principles, practices and procedures of an office environment; ability to use the telephone in a professional and courteous manner; assemble, sort, and/or distribute documents, supplies, and/or materials/items; deal with people in a manner which shows sensitivity, tact, and professionalism; follow written and/or oral instructions; speak clearly, concisely and effectively; listen to, and understand, information and ideas as presented verbally; establish, organize and/or maintain files; operate office equipment knowledge in Microsoft application (i.e. Word, Excel, Access, PowerPoint); ability to use HRIS software helpful.

Physical Demands:

Regularly required to sit at a desk or table, working on a computer; occasionally required to stand and walk for long periods of time (more than 50% of the time). Use hands to finger, handle, or feel; reach with hands and arms; vision, hearing, speech and literacy (critical). Must be able to lift, push, pull, and/or move up to 10 lbs.; occasionally carry up to 25 lbs. (less than 25% of the time). Bending, kneeling, continuously standing, using chemical agents, or wearing protective clothing (less than 25% of the time).

Communication Demands:

The position requires talking to employees, supervisors, managers, executives, and outside trade persons/vendors; written communication to employees, supervisors, managers, executives, and outside persons/vendors; responding to written or verbal requests; reading; composing written language; receiving verbal and written instructions.
