The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $21.00 to $26.93.

Standard Judicial Branch business hours are Monday through Friday from 8 am to 5 pm. This position will allow for a telework schedule of up to 2 (two) days per week dependent on the needs of the Judicial Branch.

This position is non-exempt under the FLSA

About the Position
The Management Assistant provides administrative support to the Deputy Court Administrators and the court's executive offices to facilitate coordination and completion of highly responsible, complex, and often confidential work activities and special projects.

POSITION QUALIFICATIONS

Education:
  • Associate’s degree
Experience:
  • Two (2) years of advanced administrative experience providing support to management/executive level professionals
OR
Combined education and experience qualifications:
  • An equivalent combination of post-secondary education and job-related experience may substitute for the education and experience requirements on a year-for-year basis
Knowledge, skills, and abilities:
Knowledge of:
  • The principles and practices of administration, data processing, budgeting, purchasing, personnel administration, and office management
Skill in:
  • Computers and software including the operation of Microsoft Office
  • Communication with attention to grammar, detail, proofreading, and formatting
  • Accurately and efficiently preparing memos, letters, and emails
  • Learning and mastering core business and support applications
Ability to:
  • Learn court organization, functions, and services; laws, rules, and regulations pertaining to the judicial process
  • Prioritize, organize, plan and manage multiple assignments efficiently and effectively with an emphasis on attention to detail
  • Establish and maintain effective working relationships with others
  • Analyze complex data and draw logical conclusions; conduct research and prepare reports
  • Communicate information and ideas clearly, accurately, logically, and persuasively, both orally and in writing, so the communication is appropriate to the needs of the audience
  • Demonstrate a high level of professionalism, confidentiality, and cultural sensitivity
  • Establish and maintain constructive, trust-based and cooperative working relationships with individuals from the public, all levels of the organization, executive staff, and judicial officers
  • Obtain and maintain Notary Public certification
ESSENTIAL JOB TASKS

  • Coordinates and schedules meetings and events; manages multiple calendars.
  • Prepares meeting agendas and minutes.
  • Assists with the development of presentation materials and operates audio/visual equipment.
  • Drafts, reviews, and edits correspondence and reports; prepares and updates organization charts, contacts, and distribution lists; maintains filing and tickler systems in electronic and paper format; executes management and archival of documents.
  • Retrieves and distributes postal and interoffice mail.
  • Greets visitors and answers calls from the public, county departments, outside agencies, the judiciary, and independently responds to and resolves, where possible, internal and external queries and determines appropriate routing within the court system.
  • Reviews the Administrative Calendar and assists in completing action items; handles ad hoc requests in support of the Court Administrator's office.
  • Assists with office responsibilities and cross-trains with other support teams to assure coverage and performs additional tasks and projects as assigned or delegated by the supervisor.
  • Works closely and cooperatively with the Office of the Presiding Judge and the Executive Management Team; interacts with Superior Court Judges, Commissioners, and Judicial Staff; assists Court Counsel as needed.
  • Works with various court associations on behalf of the Deputy Court Administrators.
  • Arranges travel and prepares authorizations and expense reports.
  • Organizes court-related events; facilitates conference room reservations.
  • Provides notary services for internal court-related purposes and performs floor warden duties.
  • Inventories and orders supplies for general office use, projects, and events.
  • Researches and makes recommendations for special order requests, and maintains office equipment.
  • Plans, organizes, and directs administrative services.
  • Interprets and makes decisions concerning court administration in accordance with laws, regulations, and policies.
Working conditions :
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger, handle, or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
