In a team atmosphere, Customer Service Specialists (CSSs) (Dispatchers) communicate with customers; schedule, dispatch, and communicate with Transit Operators (Bus Drivers) to help people of all ages and abilities get safely to places in and around their communities; and complete documentation and other administrative responsibilities. The Lead Dispatcher is also assigned operational responsibilities related to scheduling, training, procedures, customer communications, software utilization, reports, billings, ordering, cleaning, and assisting Transportation Managers with other assignments.

This full-time position (40 hours per week) has a great benefit package including generous Paid Time Off (PTO), and will be based in Plainview.

The following Administrative Assistance / Leadership Tasks consume about 35% of this position's time while the rest of this person's time is spent completing standard Dispatch tasks (listed on full position description):

  • Coordinate with Transportation Managers to ensure shift coverage through effective scheduling
    • NOTE: Lead Dispatcher must work various hours to cover any open shifts
  • Notify supervisor when dispatchers fail to show for work; call substitutes to fill shifts
  • Train new dispatchers on department policies and procedures
  • Work with Transportation Managers to develop and refine standard operating procedures
  • Work with supervisor to ensure customer communication expectations are met
  • Run nightly service area/vehicle reports and reconcile any discrepancies
  • Understand and utilize scheduling software to maximize productivity and efficiency
  • Assist Transportation Managers with administrative assignments as necessary
  • Complete billing forms for volunteer driver/ATS transportation non-emergency medical rides
  • Complete on-line billing for non-emergency medical transportation contract using required clearing houses
  • Match completed pre-trip inspections with daily run reports
  • Take orders for tokens and brochures; send requests to appropriate person for fulfillment
  • Order supplies and other office equipment when needed
  • Clean office, vacuum, sweep, empty garbage

Qualifications:

  • Dispatch or Call Center experience preferred but not required
  • One year of professional office experience with the demonstrated ability to:
    • Proficiently use a computer
    • Accurately type at least 40 wpm
    • Answer multi-line phone system
  • Prefer 1-2 years of post-high school education
  • Ability to work with minimal supervision and complete tasks on time
  • Ability to work in a team environment with a positive attitude
  • Ability and willingness to work flexible days and hours
  • Exceptional, courteous, and effective communication skills with a commitment to outstanding customer service
  • Ability to read and navigate a map
  • Ability to read, write and speak the English language
  • Ability to multi-task, manage projects and thrive in a disruptive, high-stress and fast-paced environment
  • Ability to maintain strict confidentiality
