SUMMARY: Under immediate supervision, assists in preparing materials for the Detroit City Council Daily Calendar and Journal and other materials for presentation to the Detroit City Council; and to process City Council actions and resolutions.

Examples of Duties

  • Faxes hearing/discussion notices to various departments.
  • Drafts letters setting forth matters to be resolved and accompanying resolutions for the City Council.
  • Drafts summaries of discussions and public hearings and the actions taken.
  • Arranges and proofreads materials related to petitions, etc., for printing a record of the City Council proceedings.
  • Assists in notifying petitioners of City Council actions and explaining such actions, as necessary.
  • Assists in answering inquiries of citizens concerning Ordinances, Resolutions and similar acts of the City Council and other matters within the jurisdiction of the City Clerk’s Office.
  • Provides clerical assistance and support to the Task Forces established by the City Council.

Minimum Qualifications

Qualifications (required):

  • Two years of college or three additional years of comparable work experience may be substituted for the college requirement.
  • Equivalent combinations of education and experience may be substituted to meet the education and experience requirements of this position.
Qualifications (preferred):
  • Four (4) years experience performing important and complex clerical tasks.
Knowledge, Skills, and Abilities
  • Knowledge of organization, work functions, practices and procedures, rules and regulations of the Detroit City Council and of municipal organizations.
  • Knowledge of general office work procedure, terminology, and established office methods and practices.
  • Skill in use of personal computers and common office and work related software.
  • Skill in recording and transcribing minutes of meetings with accuracy.
  • Skill in the correct use of grammar and punctuation.
  • Ability to work in a fast-paced multi-tasking environment.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to perform routine administrative work in detail and to instruct others.
  • Ability to reproduce transcribed minutes of meetings in appropriate format.
  • Ability to use electronic equipment.
  • Ability to accept and respond to direct supervision.
  • Ability to interact effectively with peers, superiors, other departmental personnel, the public, City Council Members and their respective staff.
Licenses, Certifications, and Other Special Requirements:
Willingness to pursue additional training/education that may be offered through the Human Resources Department or required by the Office of the City Clerk.
