The Human Resource Assistant aids and facilitates the Human Resource Department in all administrative processes at all business locations. This role assists with new hire orientations, document verification and collection. This position also assists with the payroll process and maintains all employee files and records. The Human Resource Administrator makes sure that certain compliance items are maintained in accordance with federal and state regulations and that plan provisions are followed. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry. This role reports to the Manager of Human Resources and works on a number of projects across many clients.

Duties/Responsibilities:

  • Welcoming new employees and providing tours;
  • Coordinating logistics for new hire orientations;
  • Entering employment data into the company database;
  • Organizing meetings and taking minutes as required;
  • Assisting higher-level HR staff with the recruiting and hiring process;
  • Helping set-up for recruitment and training events;
  • Answering phone calls and any employee inquiries;
  • Creating welcome documents, newsletters and legal update postings;
  • Updating employee holiday schedules and postings;
  • Creating Birthday, Anniversary and New Hire signs;
  • Completing forms I-9, verifying I-9 documentation and maintaining I-9 files.;
  • Scheduling meetings and interviews as requested by HR staff;
  • Making photocopies;
  • Mailing, scanning and emailing documents;
  • Filing documents into appropriate employee files;
  • Assisting or preparing correspondence as requested;
  • Preparing new-employee files;
  • Processing mail;
  • Performing other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or related software.
  • Excellent ability to prioritize creative requests and meet tight deadlines
  • Customer service experience a plus.
  • Ability to work in a fast-paced demanding environment, while maintaining project progress
  • Accuracy and attention to detail

Education and Experience:

  • Bachelor's degree in human resources or related field and/or equivalent experience.
  • At least one year related administrative experience required.
  • SHRM-CP credential a plus.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
