TSINY, a non-profit mental health services agency seeks a Human Resources Assistant for its Administrative offices located in Whitestone, NY.

Salary: $34,000 annually

Position Summary

Provides clerical/administrative support (e.g., copying, faxing, filing, scanning, compiling data) to a variety of functional areas in Human Resources, including, but not limited to recruiting, HRIS, Workers Compensation, personnel records and unemployment.

Essential Functions

Receive Employee Application and other paperwork on prospective employee/intern/volunteer; contact hiring manager and request reference checks be initiated; initiate employment verifications and motor vehicle reports, as appropriate; contact prospective employee and schedule fingerprinting registration, register subject individual in CHITS, retrieve criminal history results and make appropriate notation on Applicant Consent Form, update employment status. Ensure receipt and completion of appropriate paperwork by new hire on first day of employment. Photocopy appropriate paperwork and forward to Payroll. Obtain photo and signature for use on ID card and produce same. Conduct initial orientation. Input new hire data into HRIS.

Enter and control data (e.g., name, address, date, reason for personnel action in employee status, absences) from confidential employee records in the Agency's computerized Human Resources Information System. Review source documents for accuracy and completeness; verify accuracy and completeness of output. Code data, as appropriate. Generate and distribute a variety of reports and summarize regarding a variety of employee data. Develop queries and generate ad hoc reports for authorized personnel.

Coordinate the worker's compensation insurance process. Collect accurate worker's compensationrelated information; ensure the accurate, complete and timely filing of illness/injury reports; follow-up on pending claims. Work directly with employees, insurance representatives, worker's compensation carriers, etc. in solving any problems regarding the process. Prepare or obtain and distribute management reports.

Respond to requests for employment verifications and request for information on Human Resources policies and procedures. Ensure the accuracy and timeliness of responses.

Compile data, complete and return Unemployment Insurance Notices of Potential Charges and Protest, as appropriate. Ensure the accurate and timely filing of said notices. Conduct quarterly reconciliations; prepare check requests.

File and maintain personnel records in accordance with current filing systems. Document movement of files; trace missing files. Search, locate and remove materials from files or furnish information to authorized individuals. Assist in the destruction of records.

Greet vendors, employees, clients, job applicants and other visitors. Operate a telephone console to relay incoming calls. Direct callers to appropriate destination; respond to routine inquiries or record name, time of call, person contacted and forward message as appropriate.

Receive Agency's incoming mail. Open, read and sort mail into appropriate in-box. Process outgoing mail by examining its appearance, seal envelopes, weigh mail to determine correct postage and affix postage using meter; maintain records on postage and registered mail. Ensure compliance with Agency policy.

Complete and process Requisition/Order Form for departmental supplies. Receive and store departmental supplies, ensure receipt of items ordered. Maintain files.

Staff ID Project - coordinate and process pictures for Staff ID's and ADP Profiles.

Document management in ADP Workforce — Assign categories and sub-categories to documents to be E-signed. Select audience to receive forms.

Release e-faxes from printer daily; read and sort into appropriate in-box.

Read HR e-faxes daily; print, distribute and/or otherwise handle as appropriate.

Assist in administering a variety of Human Resources policies and programs.

Personnel File Audit — review all personnel files to assure that all required documents are filed.

File Termination reviewing all termination files and placing data sheet with demographics.

Shred confidential company documents.

Organize employee files.

Maintain office security by following procedures for the front door buzzer.

Maintain a safe and clean reception area by complying with procedures, rules, and regulations.

NYS Driver's license preferred but NYS non-driver ID acceptable.

Perform other related duties as assigned.

Experience/Education/Skills/Abilities

High School diploma, computer literate, excellent typing skills plus two years' related experience.

Be computer literate, detail oriented and have the ability to multi-task and meet deadlines.

Be good in math and data entry.

Have knowledge of social media content creation and social media research.

Have knowledge of fund raising opportunity research.

Be able to deal with constant interruptions.

Possess strong Microsoft Office Suite skills.

Have excellent organizational skills.

Possess effective oral and written communication skills.

Have the ability to interact effectively with all levels of employee, as well as external contacts.

Be able to handle confidential and sensitive information.

Be proficient with basic office equipment, such as telephones, copiers, fax machines, printers, PC's.
