Summary

Reports to the HR Manager. Responsible for consulting with the HR Manager to evaluate reporting needs. Leads and participates in continuous improvement initiatives to ensure efficient reporting processes, the use of appropriate tools, and data integrity. Performs a variety of administrative duties as related to HR in full support of the HR Manager. Complies with center and management directives, and handles confidential materials and information with discretion and tact. Assists in identifying training needs and tracking training for the center.

Essential Functions

  • Maintains confidentiality of all HR records/information and use discretion and tact when interacting with staff, student/employees, and visitors.
  • Assists the HR Manager in the preparation of special reports (Equal Employment Opportunity, Affirmative Action, Veterans Reports, etc.).
  • Maintains personnel files and records and other filing systems as necessary.
  • Represents HR during New Student Orientation.
  • Assists with staff training programs and maintains/updates computerized files of staff training.
  • Maintains monthly training calendar.
  • Assists the HR Manager with benefits coordination and yearly open enrollment for staff members.
  • Receives, opens, and distributes incoming HR mail. Prepares outgoing mail (e.g., types envelopes, Federal Express, Certified, etc.).
  • Assists HR Manager with administering wage and salary program, including salary and personnel changes, performance appraisals, evaluation of position descriptions, salary administration reports, and proposed changes to rate structure and area wage and salary surveys.
  • Represents the HR department at staff meetings in the absence of the HR Manager.
  • Performs administrative duties, including typing of correspondence and other materials. Proofreads to verify accuracy of letters, memos, forms, etc.
  • Models employability skills.

Requirements

Required Education & Experience

  • Associate’s degree in HR or business or related field
  • Minimum of one year of professional-level HR experience preferred
  • Three or more years of administrative experience in lieu of education requirements will be considered

Certifications/Competencies

  • Ability to support, promote, and enforce Job Corps’ Zero Tolerance Policy
  • Ability to promote the Career Success Standards (CSS) by modeling appropriate behaviors, mentoring students when needed, and monitoring positive/negative behaviors through interventions
  • Strong organizational skills
  • Excellent written and verbal communication
  • Computer proficiency required, including Microsoft Office Suite and Outlook; ability to learn and use a variety of programs

Minimum Eligibility Qualifications

  • If position requires driving, a valid driver’s license in the state of employment with an acceptable driving record is required
  • I-9 documentation required to verify authorization to work in the United States
  • Ability to pass pre-employment drug test and background check
