Summary of Key Responsibilities

The Fuel Pricing Coordinator provides administrative support for the wholesale fuel and Retail Convenience Store team through the performance of five core process areas: Price Administration, Supply & Logistics, Fuel Sales Support & Analytics, Fuel PQA & Compliance, and Retail Customer Service. The Fuel Pricing Coordinator facilitates solutions-based communications with team members across all functions to provide timely and accurate business solutions. The successful candidate builds, adapts, and administers databases, systems, and reports to perform job duties on behalf of key business stakeholders, fuel carrier dispatch teams, and retail customers.

This role is considered the Subject Matter Expert on multiple fuel operations data and systems. The successful candidate must effectively communicate with external and internal business contacts in support of the most important product category of our Mobility operations.

Job Duties:

Price Administration

  • Collect, verify, and publish wholesale posted prices used to invoice deliveries to our lessee and open dealer sites.
  • Maintain and control the integrity of the fuel price database.
  • Report retail prices to internal wholesale team members, retail site operators, and government entities as required.
  • Administer to the web-based Competitor Fuel Price Survey to assure all relevant competitors are surveyed for all product grade prices daily.
  • Communicate daily fuel price changes to our Retail Convenience Stores. Additionally, publish price change reports to Operations Leads used to validate fuel prices on site Point-of-Sales.
  • Provide ad hoc reports as requested in all areas of pricing. Examples include competitor price trends, product grade differentials, customer/competitor segmentation impacts and evaluations.
  • Review Supplier Price Addendums for accurate calculation of product acquisition costs.
  • Design and operate contract governance process (tender to contract execution)
  • Own and maintain active contract register and monitor contract performance and compliance
  • Implement and maintain compliance to Shell Contract Management Controls and Contractual Allocation of Risk standards
  • Research suppliers and vendors that align with the goals of the company
  • Negotiate vendor contracts alongside business area focal to ensure best cost, compliance, and risk allocation outcome for company
  • Design and maintain corporate records management program
  • Conduct cost analysis and set benchmarks for continuous improvement

Supply & Logistics Coordinator

  • Lead point of contact for contracted Fuel Carrier dispatch teams, assuring timely deliveries of fuel to our 170+ retail and 130+ wholesale sites. Resolve and communicate solutions for allocation/supply constraints, terminal disruptions, and store status, including compliance & tank testing schedules.
  • Administer to the PDI/Telapoint fuel dispatch system to ensure the communications of accurate fuel inventory levels for all sites.
  • Report on best pull points for products based on acquisition and delivery costs.
  • Monitor, report and resolve Carrier performance on key performance metrics of run outs, tank inventories, as well as track weather and maintenance events that impact the efficiency of carrier deliveries.
  • Schedule Carrier activities for various ad hoc fuel events including, tank pump outs, dealer loads/split deliveries, vendor loads, and DEF orders.
  • Analyze Carrier invoices vs. agreed rates and FSC, budget, optimal dispatch model. Develop, document, and communicate site rates for Fuel Man fleet card and wholesale delivery billing.
  • Resolve TPG and carrier system configuration issues to assure streamlined delivery reconciliation processes between organizations.

Fuel Sales Coordinator – Retail & Wholesale

  • Point of Contact for Fuel Man fleet card administration to set up new and revised accounts, and update freight rate changes, when necessary.
  • Provide fuel sales analytics by market, entity, brand, fuel, CoT, or specific to operations Zone/District/Territory.
  • Provide Supplier fuel sales forecasts as key input in developing daily, weekly, and monthly product allocations.
  • Report on volume and value impacts of supply events, run outs or other business continuity items.
  • Identify and coordinate fuel system maintenance items impacting the efficient distribution and sales of petroleum products. i.e., probe ATG outages, tank and vent issues impacting fuel deliveries.
  • Optimize wholesale truck diesel business for Truck Stop sites by identifying and executing best pull point for branded and unbranded diesel fuel.
  • Administer dealer contract locations for our Posted Rack Price System.

Fuel Product Quality Assurance, Policy & Compliance

  • Operations point of contact for fuels problem solving, facilitate solutions for missing delivery paperwork, and verification of delivery / tank inventory information.
  • Liaison with maintenance on items impacting UST operating status and compliance with regulatory requirements.
  • Identify and report Over / Short policy investigation sites through the administration of the Fuel Investigation Tool [F.I.T.] for each week accounting period.
  • Track and assure the wholesale Fuel Distributor License is updated and in compliance.

Retail Customer Service – Fuel

  • Investigate and respond to PQA inquiries and claims of product contamination.
  • Communicate investigation results to stakeholders with findings and, if necessary, settle claims with customer. All claims must be documented closed with the customers satisfied with the thoroughness of our investigation and our TPG PQA processes.
  • Collect all documents necessary to validate all claim settlements including contamination event findings, claimant fuel purchase, vehicle repair workorder & paid invoices, and claimant General Release.
  • Liaison with Insurance representative or focal point on all claims events that exceed our corporate thresholds.

Experience and Qualifications Required:

  • A Bachelor’s degree in business, accounting, or data science field is preferred.
  • 5 years’ experience in Retail Fuel Sales or Convenience Store Operations is preferred.
  • Strong proficiency in all Microsoft Office suite products, including Access database. The ability to build from new usable and secure database tools is a requirement, therefore the successful candidate will benefit from experience with VB, SQL, Python, or similar code languages.
  • Previous experience with PDI products – Envoy and Telapoint - is preferred.
  • Analytic and quantitative skills necessary, as successful candidate expected to provide independent testing and review of current fuels policy and processes, with a willingness to challenge the status quo to improve processes
  • Stakeholder management to build positive relationships with carrier dispatch teams and fuel supplier team members that support our 24-hour business.
  • The demands of the Fuel Coordinator role require an office-based professional during daytime work hours. Virtual work office and 24-hour phone availability is required during certain market events, however, effective planning during work hours will limit these off-hour events to a manageable level.
