The Front Desk Specialist is responsible for greeting patients and clients, answering and directing incoming phone calls, providing exceptional customer service to our Beneficiaries and visitors, and general office support to the organization. This position works as a team with the Administrative Department requires excellent customer service, problem-solving, and organizational skills.

Essential Duties and Responsibilities

  • Support the organization’s mission and goals, quality standards, and patient-centered medical home philosophy.   • Uphold KANA’s Code of Ethics by conducting professional activities with honesty, integrity, respect, fairness, and good faith in a manner that reflects positively upon the organization.
  • Use proper phone etiquette and maintain a professional demeanor at all times. Greet visitors, staff, and others in a professional and courteous manner. Answer multi-line phone and direct calls to appropriate staff member or department. Take and deliver messages or transfer calls to voicemail when appropriate personnel is unavailable.

  • Welcome onsite visitors, determine the nature of business and announce visitors to appropriate personnel.

  • Communicate effectively with patients, colleagues, and other KANA staff. Practice meaningful customer service skills addressing patient and staff needs courteously and promptly.

  • Answer questions about KANA and provide callers with address, directions, and other information necessary to receive needed services. Address conflict resolution and distressed visitors.

  • Receive and sort incoming and outgoing mail for the organization.

  • Work with the department managers and Communications Department to develop and distribute information about KANA services and specialty clinics to village communities monthly.

  • Arrange travel for assigned staff in accordance with established procedures. Generate and track internal paperwork to initiate travel requests, and communicate with travelers, staff, and agencies to secure transportation, lodging, and other required services. Provide travelers with itineraries, confirmation codes, and information necessary for travel.

  • Perform other clerical duties such as filing, photocopying, faxing, scanning, and assisting with mail. Manage conference room calendars and set up Zoom meetings.

  • Order supplies, organize, and tidy conference rooms, breakroom, and copy room weekly or as necessary.

  • Perform other duties and special projects as assigned.

This job has no supervisory responsibilities.

High school diploma or equivalent, one to three months related experience and/or training, or equivalent combination of education and experience. To perform this job successfully, an individual should have knowledge of Database, Internet, Word Processing and Spreadsheet software. Ability to learn proprietary software.
