Role Overview:

Self-Help is seeking a Front Desk Associate to join our team in Durham, NC. The Front Desk Associate will provide high level customer service to all visitors including internal as well as external clients, greet and direct each visitor to the appropriate individual or resource, coordinate all front desk activities, and perform general clerical, customer service, and special project work in supporting the Admin Services team as well as the broader organization.

Essential Responsibilities:

  • Serve as the first point of contact with all Self-Help visitors, members and internal staff/customers, providing each with the highest level of customer service. Answers calls and directs inquiries in a prompt, accurate and efficient manner.
  • Handle mailing needs including collection, sorting and distribution, coordinating and executing mailings for Operations when needed, and signs and tracks all packages arriving to organization.
  • Ensure access to secured offices is handled, as appropriate.
  • Maintain regular attendance and on-time arrival.
  • Assist all departments with special projects; researches Admin Request concerns; provides support for conference calls and use of teleconferencing tools.
  • Ensure office supplies are available as needed, monitors supply inventory and submits requests to purchase stock when needed. Maintains the front office area as well as any other public areas in a neat and orderly condition.
  • Maintain logs in shared file system of items delivered from external vendors/customers/members.
  • Support procurement, travel, and logistic functions of Admin Services team.
  • Remains knowledgeable of building security procedures and business continuity plan at all times and responds quickly, calmly and effectively to all types of situations including crisis situations.
  • Assist with special projects and other duties as assigned. Such projects may include assisting with research, preparing written documentation, presentations and meeting coordination.
  • Performs other related clerical duties as required or deemed necessary including data entry, filing, scanning, or procurement of catering for meetings.

Credentials, Experience and skills:

  • High school diploma or equivalent and 1 to 3 years of customer service or administrative experience in a fast-paced environment.
  • Strong commitment to our mission – creating economic opportunity for traditionally underserved communities.
  • Preference for working in organizations that place priority on teamwork and collaboration
  • Demonstrated ability to communicate effectively, both orally and in writing, in Spanish and English.
  • Working knowledge of MS Outlook, Word, Excel, and PowerPoint.
  • Attention to detail.
  • Ability to handle multiple tasks and to effectively organize and prioritize work.
  • Good Judgement.
  • Ability to maintain composure during stressful periods or in critical situations.
  • Excellent interpersonal skills.
  • Ability to form and maintain strong relationships with internal and external customers.
  • Ability to use keyboard and data entry skills.
  • Ability to work overtime, if needed.
