What you'll be doing: The Foundation Specialist manages and maintains the Foundation’s scholarship and award processes, fundraising database, and provides various reports. This includes development and implementation of database procedures to optimize analysis of Foundation data information, processing all donations to the Foundation and preparing acknowledgement letters and other correspondence in accordance with IRS requirements and Foundation procedures. The Foundation Specialist also plays a key role in the success of Foundation special events and scholarship program activities.

Who you are: We are looking for a collaborative, team player who enjoys a balance of task-oriented duties and consistently communicating and building relationships with a diverse group of individuals. This person has the opportunity to use their technical skills and strong attention to detail working in Foundation databases.

About the team: The Foundation team is a small but efficient team that is comprised of the Vice President of Foundation, HR & Legal Affairs, the Director of Development & Major Gifts, the Foundation Accountant, and the Foundation Development Associate. The LCC Foundation has a Board of Directors of approximately 20 community volunteers and the mission of the LCC Foundation is to provide financial support where public funds are not sufficient, and to gather support for the enhancement of educational opportunities at Lower Columbia College.

As part of the Foundation team, this position will help advance the mission of providing financial assistance to students, encouraging public support for the college, and strengthening the teaching, learning and cultural environments of the college and our community. The Foundation Specialist position is 40 hours per week. The typical schedule is Monday through Friday, 8:00 am to 5:00 pm. This position is primarily in person on campus with some opportunity to work remotely. This position is exempt under FLSA and overtime eligible. Some evening and weekend hours will be required for special events. This position reports to the Director of Development & Major Gifts.

Examples of Duties & Responsibilities

Scholarship Program

  • Coordinate, promote, and assist with student scholarship activities: managing and tracking applications, sending student correspondence; student awarding and acceptance process; creating student biographies; and assisting with review committee recruitment and training opportunities
  • Coordinate the distribution of scholarship awards to students, and serve as liaison to the college financial aid office for student scholarships
  • Reconcile award data with Financial Aid data for accurate reporting and awarding.
  • Coordinate scholarship opportunities with LCC student services, outreach teams, student government, and to high school staff liaisons and students
  • Evaluate scholarship services on an annual basis, collect data from other schools as needed and import scholarship recipient data into the Raiser’s Edge database to support alumni cultivation
  • Direct and oversee the maintenance, security and administration of the Blackbaud Award Management scholarship database

Foundation Donations

  • Process all donations to the Foundation and ensure accurate record-keeping of donor contributions and pledges
  • Collaborate with the Payroll Team to process monthly payroll donations
  • Recordkeeping for all gift acknowledgements and receipts in accordance with IRS requirements and Foundation policies and procedures

Other Foundation Duties

  • Coordinate mailing of College and Foundation publications and marketing materials, including social media and web content.
  • Train and provide oversight of student workers on database use and accurate data entry
  • Prepare and record communications and contact reports with alumni, prospects and donors
  • Act as liaison with other departments to work toward a cooperative exchange of student data/graduation information/degree confirmation
  • Expand the depth of the Foundation’s database in regards to information about alumni as well as other College constituents
  • Assist with special events including fundraisers, donor recognition events, and other Foundation-related events including occasional weekend and evening events
  • Maintain the Raiser’s Edge database, including: conducting research to locate lost donors and alumni through various means, obtain updated information and address changes from various sources, and perform research to combine married alumni, duplicate records, and family links
  • Other duties as assigned

Typical Qualifications

Minimum Qualifications:

  • Associate of Arts or related field OR equivalent combination of experience and education
  • Advanced computer skills
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to organize and prioritize work
  • Ability to work independently with little supervision
  • Excellent interpersonal skills
  • Maintain a high degree of confidentiality and professionalism

Preferred Qualifications:

  • Experience with database systems, particularly data management, query and report generation, selection criteria and data analysis
  • Experience working in development or marketing or event planning
  • Experience supporting scholarship programs in a higher education fundraising setting
  • Familiarity with communications/public relations goals and tools, including writing to targeted audience groups and graphic design for targeted audiences
  • Knowledge of Blackbaud’s Raiser’s Edge database program or similar foundation database program
  • An understanding of stewardship protocols, as well as accounting standards
  • Familiarity with philanthropy
