POSITION DESCRIPTION
POSITION TITLE: Family Services Program Coordinator
DUTIES AND RESPONSIBILITIES: Under the direction of the Family Services Program Manager, the Family Services Program Coordinator will:

  • Be responsible for the coordination, planning, implementation, and evaluation of administrative program needs.
  • Provide daily and general oversight of administrative responsibilities for the Family Services program
  • Review clinicians billing logs, service summaries, and documentation for billing
  • Complete monthly billing documents and invoices and prepare for program managers approval and signature
  • Assist in managing program/client waitlist and assign new cases to clinicians
  • Monitor and track clinicians caseloads using excel or other types of tracking sheets
  • Collaborate with the case managers and clinicians to develop activities that may target specific family goals.
  • Assist program manager with county audits, periodic staff chart reviews, and contract compliance
  • Maintain accurate and timely documentation of all job related activities including weekly progress notes and other correspondence.
  • Track annual demographic data and assist with data reports
  • Assist program manager with reviewing intake packets and discharges including creating and breaking down client charts.
  • Be the central point of contact for the agency including program services, referrals, billing, events, etc.
  • Coordinate and schedule intakes in collaboration with DPSS for the CalWorks Domestic Violence program
  • Monitor program supplies including service summary forms, charts, file folders, etc. and submit check requests to ensure program has supplies needed
  • Calculate and provide monthly estimates of all family services programs to the finance department and program manager to assist with monthly revenue projections
  • Assist with outreach efforts and attend outreach events for Family Services programs
  • When needed, attend internal and external County or program related meetings
  • Capacity to be discreet and a demeanor to maintain confidentiality relating to client and personnel information.
  • Adaptive and multi-tasking ability to easily transition from one task to the next
  • Ability to interact with employees of other departments in a professional and respectful manner.
  • Great work ethic demonstrated by reliability, punctuality, professionalism, diligence, and strong follow-up skill.

  • Perform other duties as assigned

REQUIREMENTS:

  • High School Diploma or GED
  • Ability to work a flexible schedule, including some weekends and evenings.
  • Permanent U.S. residency or citizenship.
  • Valid California Drivers license, current auto insurance, and good driving record.
  • Ability to pass background check and criminal clearance.
  • COVID-19 Vaccination and booster

PREFERRED QUALIFICATIONS: *

  • Bilingual in English and Spanish
  • Experience in working in a community based organization.
  • Knowledge of Southeast Los Angeles County
  • Superb planning and organizational skills with a proven track record for strategic planning and execution and attention to detail.
  • Ability to succeed independently within a fast-paced, dynamic, and sometimes unpredictable work environment.
  • Must have familiarity with County of Los Angeles Departments, including DCFS, Department of Probation, and DPSS.
  • Ability to effectively communicate in written form as well as verbally.
