The Operations & Facilities Assistant provides administrative support to the corporate office with occasional support for other branch offices. This role is part of a team that helps support the day-to-day running of the office helping to ensure that everything runs smoothly.


What You'll Do:

  • Work closely with the operations manager and coordinators to oversee daily business operations.
  • Proactively recommend improvements to increase workplace engagement
  • Work with Operations/Facilities team ordering and setting up for all staff and departmental meetings and events.
  • Answer and direct all incoming calls with professionalism and efficiency. Route calls to appropriate staff.
  • Greet all visitors with hospitality in mind and ensure that they are connected with who they are visiting in a timely manner.
  • Process and scan incoming mail and process any outgoing mail and packages
  • Ensure that meetings rooms, copy rooms, kitchens and break rooms are stocked and organized

Experience & Qualifications:

  • Minimum 1 years of administrative and/or customer service experience.
  • Proven track record of providing superior customer service in previous roles.
  • Proficient with Microsoft Excel, Word, PowerPoint, and Outlook.
  • College degree preferred, high school diploma or equivalent required.
  • Exceptional verbal, written and interpersonal communication skills.
  • Excellent time management and organizational skills, with ability to multi-task and manage competing demands while remaining flexible to changing priorities.
  • Ability to maintain confidentiality using discretion, tact and diplomacy.
  • Valid CA Driver's License.
