Administrative Coordinator/Executive Assistant

Wilson, NC with locations throughout the Triangle and Eastern North Carolina region. We were founded in 2007 with 2 locations and expanded to over 20 through acquisitions and start-ups.

Position Overview. The Office Manager/Executive Assistant is a newly created position combining tasks from Office Management activities such as answering phones, ordering supplies, and scheduling meetings to assisting the Executive Leadership Team with various administrative tasks.

Responsibilities. The Office Manager/Executive Assistant’s core responsibilities will be:

  • Office Management: Answer office phone and route accordingly, mail distribution, greet and direct visitors, and maintain an accurate inventory of office supplies and replenish as needed.
  • Assist various Executive Leadership Team: Schedule Meetings for the team, coordinate team/company lunches and events, make copies, organize files as needed, and other items as needed.
  • Assist Marketing Director: Communicate with third-party vendors regarding collateral requests for marketing materials and prepare for company events, including coordinating promotional items and materials for distribution.
  • Organize Large Accounts: Help coordinate large accounts for companies such as utilities, large pharmaceutical vendors, etc.
  • Assist Accounting/Finance Team: Assist with filing various documents, gathering items for an external audit, assistance with sending out tax returns, and other items as needed.

Experience and Education

  • Associate degree or equivalent education/experience.
  • One to three years prior experience with office management.
  • Ability to multi-task, work under pressure and meet deadlines required.
  • Multi-person support experience a plus
  • Must have strong experience with Microsoft Excel.
  • Strong verbal and written communication skills.
  • Strong interpersonal and customer service skills are required.
