General Summary:

The Executive Assistant provides administration services to the site leader as well as general support to plant leadership staff. The individual is responsible for the management of complex and frequently changing calendar, coordination of a wide range of meeting logistics. The individual will have a key role in coordinating visits and tours by corporate resources and external visitors such as vendors, community leaders and public officials, as well as lead and coordinate planning on-site and off-site events, as such schedule flexibility is required. The individual will handle sensitive and highly confidential information and documents with complete discretion and integrity, monitor electronic and hard copy mail, manage cost center budget/ expenses, order supplies, process invoices, arrange travel, manage travel expense reporting, coordinate site charitable contributions as well as miscellaneous administrative activities as assigned or required.
Principal Accountabilities:
  • 20% Manage calendars, mail, expense process and order supplies for site leader and other leaders as required
  • 20% Coordinate logistics and communications for site visits, tours and other special events, including government and community relations.
  • 15% Lead and coordinate site charitable contributions process.
  • 15% Produce electronic and hard copy communications, presentations, and memoranda, including material of a confidential nature
  • 10% Make travel arrangements and prepare/submit expense reports
  • 10% Manage cost center budget
  • 10% Other duties as assigned
  • Coordinate logistics for site wide all employee meetings all shifts including communications, room set-up, preparation of presentation materials, and audio/visual requirements, manage coordination of leadership visits
Minimum Education Required:
  • 2 yr degree
  • Education Desired: BA or BS
  • Years of Relevant Experience: 5+

Knowledge, Skills and Abilities Required:
  • Must exhibit executive maturity, professionalism, flexibility, solid work ethic, and excellent judgement
  • Must demonstrate strong verbal and written communications skills
  • Highly proficient with Microsoft Office, Outlook, Kronos software packages
  • Must be organized, efficient, and collaborative
  • Ability to multi-task and manage through interruptions while maintaining attention to detail, focus and accuracy in work products
  • Ability to analyze and process high volume of information and manage multiple priorities in a timely manner with a high degree of accuracy and follow-through with minimal direction.
  • Ability to maintain absolute confidentiality and discretion regarding sensitive and proprietary information
Working Conditions:

Primarily office/conference room settings with occasional presences on the manufacturing floor is expected.
