Stevenson School is a PK-12 co-educational, college-preparatory, boarding and day school with enrollment of 770 students on two campuses in beautiful Central Coast California. The Upper Division campus (Grades 9-12) is located in Pebble Beach. The Lower/Middle Campus (Grades PK-8) is in nearby Carmel-by-the-Sea. Stevenson seeks an Executive Assistant in the Office of the President. Reporting to the president of the school, the executive assistant will support and represent the office of the president, managing broad ranging responsibilities and acting as an informed and helpful resource for all school constituencies. The executive assistant will also serve as point person for all school-related events hosted at the president’s residence. The ideal candidate will be a consummate professional with previous experience as an executive assistant to a c-suite executive or administrator in an independent school setting. The individual will be exceptionally organized, detail-oriented, and demonstrate the ability to effectively manage multiple tasks simultaneously while maintaining a positive attitude and enthusiasm to engage with all members of the School community. Stevenson’s student body is richly diverse in makeup with upper division boarding students hailing from 15 states and 23 countries. The executive assistant will regularly interact directly with students and their families and will be expected to exercise cultural competency at all times. The assistant will also on occasion have access to confidential employee- or student-related information. A steadfast commitment to discretion and confidentiality is a must.

This is a full-time, 12-month/year position requiring occasional evening and/or weekend support of events and programs. Periodic flexibility of schedule is possible to either offset hours worked outside of the typical workday/workweek, and/or during school breaks, at the discretion of the supervisor, in accordance with school policies and expectations.


Responsibilities Include:

  • Serve as a face of Stevenson as the first point of contact in the office of the president; greeting and appropriately directing callers and visitors
  • Respond to email and other correspondence in a timely manner and in accordance with school policies and expectations
  • Manage multiple calendars including room reservation and campus schedules
  • Oversee all regular and special events directly associated with the office of the president
  • Provide support for seasonal and schoolwide events such as summer faculty symposium, opening and closing employee meetings and receptions, orientation events, parents’ weekend, graduation, and alumni weekend
  • Manage domestic and international travel for the president, including scheduling, booking of transportation and accommodations, and all associated logistical details
  • Manage expense reporting and reimbursement requests for the president and office
  • Manage office archives and all office-related files; both digital and hard copy
  • Manage institutional memberships including registrations, renewals, and payment of dues
  • Attend various school events to participate in and understand the school community
  • Other duties and projects as assigned

Required Qualifications:

  • A bachelor’s or advanced academic degree
  • 5+ years of successful experience in a related role
  • Excellent interpersonal, written and oral communication skills
  • Exceptional organizational skills including the ability to maintain the integrity of digital and physical files in impeccable order
  • High level proficiency with MS Office Suite, Google Apps, and a proven ability to quickly learn and adopt relevant and new systems and technology
  • Attention to detail and commitment to accuracy in all aspects of work
  • Capacity to appropriately prioritize and manage multiple responsibilities and projects simultaneously, under pressure
  • Demonstrated ability to confidently take initiative, as needed
  • Ability to work effectively as a member of a team and/or independently
  • Demonstrated ability to exercise superb professional judgment and maintain the highest level of discretion and confidentiality
  • Demonstrated expertise in event management, budget oversight, vendor relationships and management
  • Willingness to connect as needed with service providers to effectively address issues as they arise in a timely manner
  • Availability to work occasional evening and weekend hours, as needed

Preferred Qualifications:

  • Proficiency in multiple languages
  • Notary Public certification and/or the willingness and ability to become certified
  • Previous experience in an independent school setting
