Summary:
The Iowa Judicial Branch is seeking candidates for an Executive Assistant position. Under limited supervision, the position performs highly responsible administrative support for State Court Administration.

Responsibilities:
Performs administrative support duties for one or more persons in the office, exercises independent judgement in the performance of these duties.
Makes administrative decisions within designated areas of responsibility.
Assists with interpreting and implementing administrative directives.
Receives visitors, answers phones, opens and distributes mail, and arranges for appointments or interviews as necessary.
Prepares letters, memoranda, grant applications, newsletters, reports, and other correspondence with minimal instruction and review.
Administers preparation and distribution of letters, decisions, schedules, notices, requests for proposals, administrative directives, and other documents as requested.
Prepares agenda of meetings and conferences, sends out notices of meetings; takes, transcribes and puts the minutes of the meetings into official form; makes arrangements for conferences and meetings, locates facilities, coordinates arrangements, works with vendors and presenters, and prepares conference materials.
Prepares correspondence and various other documents for the review and signature of the supervisor entailing a wide knowledge of Judicial Branch programs, procedures, functions and policies; prepares periodic reports required to document supported activities.
Obtains pertinent material from the files and other sources and puts it into proper form for the review and use of the supervisor or assistant including preparation of memoranda and summaries.
Acts as an intermediary for the supervisor maintaining frequent contact with public and private executives, stakeholders, professional persons, and other officials.
Performs routine duties involved in personnel administration.
Compiles, examines, checks, and verifies statistical and other reports for completeness, propriety, adequacy and accuracy of computation; maintains information in data bases and produces periodic reports.
Performs moderate to extensive word processing duties.
Maintains inventory control, may purchase office supplies and approve invoices and monthly bills to be paid.
Prepares claim vouchers and initiates payments to vendors or contractors; maintains records on leased equipment.

Knowledge, Abilities and Skills

Knowledge of English, grammar, punctuation, and spelling.
Considerable knowledge of office principles, practices, and procedures.
Knowledge of court organization, functions, procedures and legal terminology.
Skill in the use of personal computers and knowledge of Microsoft Office software including Word, Excel, Powerpoint, etc.
Ability to follow complex oral and written instructions.
Ability to interact with the public, judges, attorneys, and government officials in a variety of situations and circumstances.
Ability to operate office machines.
Ability to organize diverse material and participants in a coordinated fashion, in a limited period of time.
Ability to maintain accurate and detailed records.
Ability to function effectively and efficiently in a complex administrative environment.
Ability to compose letters and memoranda.
Skill in proofreading material for grammatical, punctuation and spelling errors.
Ability to treat co-workers, court users/participants, and members of the public courteously and without bias regardless of race, sex, age, color, national origin, religion, disability, or socio-economic status.
Must possess initiative, flexibility and be cooperative.
Possess interpersonal relationship skills consistent with the duties of this position.
Possess the understanding and ability to work with confidential information on a regular basis.
Ability to understand and carry out oral and written instructions. Follows policy and cooperates with supervisors.
Establish and maintain effective working relationships with judges, law clerks and co-workers.
Ability to learn new computer programs and software as they are developed.
Ability to work cooperatively with others as part of a team.
Ability to apply personal work attitudes such as honesty, responsibility and trustworthiness required to be a productive employee.

Minimum Qualification Requirements

Graduation from an accredited high school (or GED) with considerable experience in a professional office environment and six (6) years of experience in a court or court-related entity.
OR
Graduation from an administrative assistant, legal assistant or paralegal training program and two years of experience in a court or court-related entity.
OR
Graduation from an accredited college or university in public, business, or criminal justice administration.
