Reconstructing Judaism seeks an experienced and detail-oriented Executive Assistant to manage its Office of the President. The position provides exceptional and reliable support to the President and Senior Director of Collaborative Governance and includes heavy interaction with board members, donors, community leaders and dignitaries. The right candidate builds rapport easily, has a strong sense of professionalism coupled with warmth, displays tact, understands and employs confidentiality, works well under deadline, and possesses a high level of responsibility with impeccable follow up and attention to detail.

This role is an opportunity for someone looking to be closely involved with movement leadership while supporting important and meaningful initiatives.

Responsibilities Include:

  • Providing extensive calendar management to the President, Senior Director of Collaborative Governance and Board.
  • Meeting technology management and administration.
  • Travel logistics and preparation.
  • Receiving, directing and responding to heavy communications requests, by email, phone; guest reception for the president’s office.
  • Letter and correspondence composition including meeting agendas, action notes, memos, updates, and departmental reports.
  • Inter-departmental coordination and execution of projects.
  • Serving as the online board portal administrator (Board Effect).
  • Information and detail management.
  • Initiating and managing logistics for Board meetings, Executive Committee meetings and other occasional events; acting as point person on the day of event.
  • Attending board and committee meetings; composing meeting minutes (many meetings are virtual or in-office, but occasional meetings take place in downtown Philadelphia or New York City. Please note that occasional meetings/events happen on a Sunday a few times per year).
  • Processing expense reimbursement and credit card reconciliation.
  • Problem solving and troubleshooting myriad issues.
  • Other office duties include but are not limited to filing, opening mail, and coordinating with colleagues who are working both in-office and remotely.

Qualifications & Capabilities:

  • At least three consecutive years of recent experience directly supporting a C-Level Executive, Senior Vice President or multiple VPs.
  • Experience demonstrating aptitude for the listed job responsibilities.
  • Exceptional interpersonal skills.
  • Ability to communicate clearly and professionally, both orally and in writing, in a style reflective of the Office of the President.
  • Ability to interact professionally yet warmly with executives, VIP donors, stakeholders, volunteers and staff.
  • Ability to work independently and as part of a team, take initiative, set priorities, track multiple concurrent tasks and projects and respond to changing needs as required.
  • Ability to proficiently use the following without training: MS Office Suite (Mail Merge, Outlook, Word, Excel). Ability to learn and apply new technologies, as needed.
  • Ability to meet deadlines, self-motivate and track tasks.
  • Ability to think critically and to troubleshoot and resolve problems.
  • Highly organized and meticulously attentive to details, particularly in written communication.
  • Ability to maintain confidentiality and exercise discretion and good judgment.
  • Ability to project warmth, interest, and competence in all interactions.
  • Ability to retain information, master new skills quickly, and self-train.
  • Skilled in technological troubleshooting.
  • Ability to compose, edit and proofread.

Salary:

$50,000-$60,000 annually, commensurate with experience.

This is a full-time, non-exempt, benefit eligible position. Following successful completion of onboarding, a hybrid schedule including working from home up to two days a week will be available if desired.

COVID-19 mitigation

Reconstructing Judaism requires up to date COVID-19 vaccination of those entering the building. During periods of elevated community transmission in Montgomery County, masking may be required.
