Patriot Family Homes is hiring an Executive Assistant for its CEO. Candidates need to live in Chattanooga, Tennessee or be willing to commute or relocate. This individual must support the CEO in terms of managing his calendar; helping respond to basic inquiries via email so CEO can focus his efforts on more complex issues. Executive Assistant’s responsibilities include managing calendars, making travel arrangements, customer contacts and relationship building, and other administrative duties as assigned. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance and anticipating needs.

Responsibilities

  • Act as the point of contact among executives (primarily the CEO), employees, customers, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executive calendars and set up meetings
  • Make travel and accommodation arrangements
  • Oversee the performance of other clerical staff as appropriate
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings to create deliverables / punch lists for employees
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system (electronic & physical)
  • Position requires attention to detail, confidentiality, and self-starter who can take initiative and act with minimal guidance.
  • Undertake additional duties and special assignments as requested by CEO.

Skills

  • Work experience as an Executive Assistant, Personal Assistant, or similar role. Added benefit if the applicant has any real estate, construction, or hospitality experience.
  • Excellent knowledge of Microsoft Office & G-Suite systems. We will use Slack a lot but can assist with training here if needed.
  • Outstanding organizational and time management skills
  • Professional verbal and written communications skills
  • Organized and accountable for maintaining records (hard copy and digital)

Work Location:

Chattanooga Tennessee or surrounding area.

Hours and Compensation:

Full time position Mon to Fri 0800 – 1700. Approximately 50% of time, could work from home. Other 50% would need to come to office. The amount of time in the office will likely increase over time.

Compensation is approximately $38,000.
