LIV Development is hiring an Executive Assistant for our Senior Managing Director of Pre-Development. This team member will create and edit presentations, schedule meetings, coordinate calendars, book travel arrangements, prepare expense reports, and deliver special projects. To be successful in this role, you should be well-organized, detail oriented, proactive, and have excellent time management skills.

Responsibilities:

  • Coordinate and manage internal and off-site meetings and events. Schedule facilities, equipment, catering, and coordinate travel arrangements including flights, car rental, and hotel accommodations as needed.
  • Prepare, assemble, and distribute meeting and event materials. Attend staff meetings and record detailed minutes. Set up and manage video meetings and conference calls.
  • Provide administrative assistance, such as managing calendars, writing, and editing emails, drafting memos, and preparing communications on the executive’s behalf.
  • Responsible for daily expenses and prepare monthly reimbursement report.

Qualifications

  • Bachelor’s degree Required
  • At least three (3) years of experience working as an executive assistant supporting one or more individuals.
  • Excellent interpersonal and communication skills
  • Exceptional time management skills
  • Knack for managing processes and people
  • Exceptional organizational skills and attention to detail
  • Technically savvy with experience in Word, Excel, PowerPoint
  • Excited to work in a team environment
  • Self-motivated/self-starter
  • Flexibility to occasionally serve outside normal business hours and travel.
  • Experience in a fast-paced, dynamic environment
