Summary/objective

The Executive Assistant is responsible for providing high-level administrative support to the CEO and VP of Sales as well as general office management.

Essential functions

  • Provides high-level administrative support and assistance to the CEO and VP of Sales.
  • Performs clerical and administrative tasks including drafting letters, memos, reports, manages outlook calendars, and other documents.
  • Plan office all aspects of office events; holiday parties, all team meetings, client events, and more.
  • Assists with client or AMI personnel gifts as required, ie. Funeral, Congratulatory, etc.
  • Arranges travel and accommodations for AMI required travel.
  • Oversees certifications, registrations, collateral material, and contracts.
  • Schedules and sets up requested meetings including refreshments and food orders.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews content and responds accordingly per direction.
  • Performs office tasks including maintaining records, ordering supplies, mail, and coordinating or performing office cleaning, as necessary.
  • Other duties as directed.

Supervisory Responsibilities

No supervisory responsibilities.

Work environment

Standard office setting.

Physical demands

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Travel required

No Travel required.

Requirements:


Required education and experience

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration and clerical procedures.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software

Preferred education and experience

  • Prior executive assistant experience
  • 4 years of experience in administrative role reporting directly to upper management
