This is an exciting opportunity to join the Global Commercial Services Technology (GCS-T) team in American Express Technology. We are a team of technology leaders driving solutions in commercial payments servicing customers across the globe from Small & Medium Enterprises to Global & Large Accounts. We are looking for a forward-thinking, highly energetic colleague to support two of the organization’s Vice Presidents while assisting with broader team needs. As a key member of the Leadership team, the ideal candidate will be reliable, able to work independently, demonstrate strong relationship management skills, and possess an ability to think proactively – anticipating the leader’s needs and “connecting the dots” behind the scenes. GCS-T is a global organization across New York, Phoenix, Florida, Bangalore, the UK, and with some colleagues virtually based in other locations. The appropriate candidate must be highly organized, possess effective time management skills, and be adept at managing multiple priorities.

What you’ll do:

  • Be the initial liaison and represent the VPs’ offices for all senior leaders and teams, including external clients/partners.
  • Demonstrate an understanding and appreciation of key customer relationships (internal & external).
  • Organize and maintain the VPs’ calendar, managing across American Express senior leaders and various time zones; proactively review calendar for conflicts that might occur in future weeks and make necessary adjustments.
  • Organize internal and external meetings including team events, making all necessary arrangements including sending invitations, identifying delegates as needed, booking rooms, ensuring needed equipment is in place and operational, and arranging catering.
  • Maintain the departmental distribution lists and location summary.
  • Make travel arrangements including air, hotel and transfers.
  • Event planning including Town Halls, Senior leader visits, planning workshops, etc.
  • Assist the VPs with appropriate capturing of meeting minutes, if needed.
  • Assist the VPs with appropriate email delegation, acknowledging receipt/replies on behalf of, etc.
  • Ensure timely preparation and processing of expense reports and invoices.
  • Provide coverage for other team-based Executive/Administrative Assistants that are on vacation or sick leave.
  • Ad hoc project work as directed by leadership.

Who you are:

  • Minimum 3 years’ experience as an administrative assistant supporting Executives within a fast-paced and dynamic environment.
  • Excellent organization and time management skills
  • A strong collaborator with the ability to work independently and influence others as needed
  • A reliable and dependable team player with a positive outlook and a ‘can do’ attitude.
  • Able to interact with Senior Leaders and handle confidential and sensitive information with discretion and integrity.
  • An excellent verbal and written communicator with strong business writing and effective interpersonal communication skills.
  • Proficient in Word, Excel, PowerPoint and Outlook
  • Located in NY, this is a hybrid role; Hybrid colleagues work a mix of in-office and virtual days, coming into the office 1-3 days per week on average. Leaders and colleagues will plan common days for in-person connection, collaboration, and events.

Salary Range: $24.05 to $48.10 hourly + bonus + benefits
