Description

Customer service-based, patient facing position. Responsible for filling prescriptions, providing inventory support, conducting retail sales, and communicating with patients, co-workers, doctors, and students in a teaching clinic environment.

Example of Duties

Prescription

Process prescription orders for dispensary items. Pull patient prescriptions from EPIC order pool and communicate with providers in EPIC if any questions. Locate products, formulate teas and tinctures, and blend creams. Type labels, explain prescription labels, update patients’ dispensary records, and answer basic product questions from patients, doctors and student clinicians. Take special orders for prescription items. Locate accurate retail price for patient via catalogue or phone. Estimate time of arrival for product to patient. Process special orders upon arrival including Insurance Reimbursement, Financial Receipts and mail-out product. Explain special order procedures for patients, student clinicians, and physicians.

Communication

Doctors & Students: Provide product and patient information to doctors and students in-person and by phone. Maintain and file dispensary records, retrieve and return phone messages, request updated information from doctors on behalf of patients. Staff & Co-workers: Work collaboratively as part of a department team and the greater Bastyr community. Communicate with co-workers that might not cross shifts in-person. Facilitate communication between Dispensary Manager, Dispensary Coordinator, Dispensary Assistants, Work Study staff, student clinicians, academic faculty, and other department managers on occasion. Patients & Customers: Assist patients and customers in locating requested prescription and OTC (over-the-counter) products. Public: Guide customer queries regarding health concerns to our Clinic. Limit product and health information given to public in accordance with Bastyr Policy and DSHEA.

Finance

Sales: Handle financial transactions necessary for the sale of dispensary goods, both retail and prescription. Operate point-of-sales cash register and bankcard machines, provide accurate refunds when appropriate and approved by supervising manager or lead. Insurance/Tax Receipt: Generate Insurance Reimbursement Paperwork for Patient Submission. Ensure correct product and price are recorded on form, Sign and Date to verify completion. Mail Orders: Prepare, process and package requested items for Mail Order. Include Insurance Reimbursement and Financial register receipts. Package mail orders to prevent any breakage, use mail meter accurately for correct date and charge, and verify accurate processing from start to finish.

Inventory

Ordering: Complete weekly ordering of Dispensary retail and/or prescription inventory as coordinated with Dispensary Manager and Dispensary Coordinator, and with input from Clinic faculty and clinicians. Maintain ordering systems to ensure appropriate inventory levels. Receiving: Complete processing of incoming dispensary inventory, unpacking shipments. Assess price changes from invoices, enter new inventory into stock, accurately price, and shelve product. Merchandising & Cleaning: Arrange and maintain a clean, organized, and merchandized retail space and prescription goods section.

Other Responsibilities:

  • Understand and follow clinic, university, and department policies.
  • Responsible for clear communication with department team and supervisors.
  • Thorough and accurate documentation of patient records and transactions.
  • Monthly team meetings and weekly or bi-weekly 1:1 meetings with management.
  • Semi-annual inventory counts in January and June.


Schedule:
(90-95% FTE)35-38 hours per week, 5 days per week. Shift times may include: Monday-Friday, 8:00AM-5:30PM,

Qualifications

Experience working with and product knowledge of herbs, nutritional supplements, integrative medicine, health care, and natural products. Cash handling and customer service experience required; product ordering experience desired. Two years of college or equivalent plus three years of retail sales and customer service.
