DATA SPECIALIST

Summary Of Position: The Data Specialist manages data for the Senior Services Department which includes entering, classifying, storing, retrieving, and updating generated information from the Senior Services data tracking system and the State of Florida's Electronic Client Information Registration Tracking System (eCIRTS). Performs general office duties, client enrollments, and client record management, as needed (congregate assessments and enrollments, answering phones, making phone calls, filing, making copies, etc.).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Responsibilities include the following, and other duties may be assigned:

  • Manages data for the Congregate Meals Program which includes the congregate meals, transportation, and recreation programs
  • Provides data management support to the Home Delivered Meals Program, as needed
  • Enters alphabetic, numeric, or symbolic data from source documents into the Senior Services and eCIRTS databases following the formats displayed in the program, and enters necessary codes
  • Provides quality assurance by comparing data entered with source documents, or reenters data in verification formation on screen to detect errors
  • Makes necessary corrections to information entered
  • Provides training to Senior Services staff on data systems and data management
  • Oversees the entry of data by congregate staff members
  • Completes billing for federal and state funders
  • Troubleshoots problems that arise, reaching out to partner agencies and providing technical support as needed
  • Compiles, sorts, and verifies accuracy of data to be entered
  • Keeps records of work completed
  • Reviews error reports and enters corrections into computer
  • Transmits entered information into database
  • Files or routes source documents after entry
  • Responds to inquiries regarding entered data
  • Completes client assessments, enrollment, and registration
  • Answers phones, transferring inquiries regarding clients and service to the appropriate staff person
  • Make outgoing calls to homebound clients for particular special events
  • Maintain files and records for the Senior Meals Program
  • Makes copies as needed
  • Assists project administration with duties as requested to enhance the function of the Senior Services Department

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent, required
  • Associate or higher degree, preferred
  • Computer operation and data entry skills, required
  • Minimum of five years’ experience with a variety of data management systems and Microsoft Office Suite, required
  • Bi-lingual English/Spanish, required
