Job Summary

This position is responsible for the overall development, planning, management, promotion and coordination of events and programs, at Grapevine Main, Peace Plaza, Town Square Gazebo, Liberty Park Plaza along with the leasing and oversight of all private events at these locations.

Essential Functions

1. Develops and organizes special promotions and events at Peace Plaza at Grapevine Main, Liberty Park Plaza and Town Square Gazebo, and coordinates with the Convention and Visitors Bureau (CVB) festival and events and marketing teams in developing concepts, themes and documented event plans for a variety of activities and events at Grapevine Main, Liberty Park Plaza and Town Square Gazebo.

2. Responsible for the development, planning, preparation, and execution of all special promotions/events/programs; develops appropriate budget, layout and operational needs; plays a major role in coordinating Grapevine Main events on Peace Plaza, Town Square Gazebo, Liberty Park Plaza, including Main Street Fest, GrapeFest®, Christmas Capital of Texas, North Pole Express, New Vintage, etc.

3. Manages and improves the Grapevine Farmers Market, European-style Market and Christmas Market programs at Town Square Gazebo.

4. Responsible for all leasing and booking contracts for Grapevine Main, Peace Plaza, Town Square Gazebo and Liberty Park Plaza.

5. Works closely with clients in planning and execution of self-produced and 3rd party rental events.

6. Works onsite at Grapevine Main and other Main Street locations as needed for events.

7. Provides continued input toward improving Grapevine’s marketing/promotion of events, activities, appearance and enhancement of overall guest experience.

8. Researches and makes recommendations on bands, musical groups and other entertainment groups for festivals and events. Coordinates the booking of entertainment for festivals, events, and programs.

9. Coordinates with executive management to develop appropriate budgets, event layouts, operational needs and marketing/promotional programming. Operates within budget guidelines; effectively manages time and resources to meet multiple project deadlines.

10. Maintains accurate databases for vendors, event promoters, volunteers and community groups as assigned; works with promoters, vendors, volunteers, community groups, and other City departments to further the goals of the Convention and Visitors Bureau.

11. Maintains and updates time-sensitive information on the websites and updates online calendars via CMS/CRM with the assistance of appropriate staff.

12. Handles event and supply-related questions from promotors, vendors, suppliers, citizens, visitors, and fellow employees in a courteous and efficient manner whether by phone, e-mail, or in person.

13. Maintains accurate databases and backup files for all assigned events; documents all processes and timelines relative to assigned events; assists in maintaining events calendar and prepares related documentation as required.

14. Develops and maintains positive relationships with key City departments involved in the execution of various events.

15. Coordinates with management and other team members on the successful execution of promotion and execution of events/special programs through development, planning, documenting of processes, promoter management, vendor management and volunteer coordination.

16. Ensures services are provided in a cost-effective, timely and professional manner.

17. Performs related duties as directed when such duties are a logical and appropriate assignment to the position.

18. Regular and timely attendance are required for this position.

19. Interacts professionally and respectfully with the public, coworkers, and others in the course of daily work.

SKILLS, KNOWLEDGE AND ABILITIES

  • Exceptional written, organizational, and interpersonal skills.
  • Must be an excellent communicator and possess extremely effective public speaking skills and presence.
  • Must have demonstrated knowledge of events, programming, production, including logistics, operational planning, and organization.
  • Must be self-reliant, good problem solver, results-oriented with strong attention to detail.
  • Must have demonstrated ability to be a team player, flexible, collaborative, productive and work well in a fast-paced environment under tight deadlines.
  • Must be proficient in Microsoft Word and Excel and skilled in the operation of computers and familiarity with CRM/CMS platforms to perform data entry, database management and maintain inventory, accurate records and statistics. Audio/Visual production skills are preferred
  • Must have good knowledge of budget management practices.
  • Knowledge of office and business procedures, City policies, rules and regulations, applied health and alcohol laws and regulations.
  • Ability to organize and coordinate all sizes of groups and diverse types of events, enforce policies and procedures, make mature judgments, have regular and punctual attendance, work irregular hours and schedules.
  • Ability to physically participate in the set up and tear down of festivals and events.
  • Working onsite at events will be a significant part of this position.
  • Ability to work during evenings, weekends and early mornings is required, along with set-up, tear-down, clean up in conjunction with other team members and volunteers.

EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS

Bachelor’s degree plus three years of marketing, public relations, event planning or related experience in a festival, arena, or hospitality environment or an equivalent combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.

A Certified Special Events Professional (CSEP) designation is preferred.

Ideal candidate should possess artistic qualities that will allow candidate to analyze event and festival grounds and visually conceptualize and sketch renderings of possible new elements. Elements could be although are not limited to: theming experiences, festival signage, etc.

Must have strong customer service skills and excellent hospitality skills, ability to work any day of the week (weekends and weekdays), long hours and stand for extended periods of time.

Must pass a Federal/National criminal background check, credit check, and must have a valid Texas driver's license with an acceptable driving record as defined by City policy.

Must pass a pre-employment drug screen.

WORKING CONDITIONS

While performing the essential functions of this position the employee is rarely exposed to disagreeable environmental factors. There will be occasional exposure to outdoor weather elements as the position requires working outdoors during CVB sponsored events throughout the normal course of the year.
