Job Summary

Hours for this position are Monday through Friday 8 am - 5 pm.

Responsible for performing a variety of judicial information management duties; includes providing in-person assistance to the Court’s customers. Provides instruction and direction, communicating the Court’s orders and related paperwork, and acts as an intermediary between customers and the Court. Process fine payments and maintains the associated financial responsibilities.

Major Tasks, Duties, and Responsibilities

Gathers and applies knowledge of court rules, ordinances, State Statutes, and other related laws.
Gives daily assistance over the phone to the general public in diverse ways. Continues arraignments, serve failure to appears, continue driving school returns, etc.
Manages irate customers utilizing excellent listening and communication skills.
Responds to incoming calls to the Lakewood Municipal Court. Verify and update defendants contact information to include obtaining email addresses. Screens calls for judges, directs calls to proper personnel and interprets procedures and policies for attorneys, defendants, and the public over the phone.
Processes online payments. Close cases and add an appropriate event result.
Accepts fee deposit for jury trials, restitution and transcript payments.
Receives monies for fines and costs. Close financial till, balance against a computer-generated report, maintain all financial reports, close related credit card machine, and make daily deposit.
Reviews electronic files received from court to ensure all entries have been made on the computer and recorded on the setting notice.
Maintains a safe work environment. Demonstrates awareness of and monitors surroundings. Reports problems or concerns immediately to the Court Marshal.
Processes electronic public defender files. Assesses information provided by customer regarding financial qualifications and makes inquiries and verification of information submitted.
Processes and distributes incoming mail, emails, and facsimiles daily.
Retrieve, attach, and process electronic files with traffic mail-in payments.
Maintains and purges closed cases as required by state archivist. Trouble shoots problems that may occur.
Closes the cash register, balances against a computer-generated report, maintains all financial reports, and makes bank deposits.
Researches dispositions of court records and release said information to authorized parties. Review all requests and determine whether requested information may be released at all, and specifically to the requesting party.
Processes jurors who appear in response to subpoenas.
Electronically schedules defendants requesting virtual court hearings.

Performs other duties in various areas as assigned.

Receives supervision from the Violations Bureau Manager.

Essential Qualifications

Education
High school diploma or equivalent.

Experience
Minimum one year experience in customer service-related position
Minimum one year clerical experience
Minimum one year cash handling experience
Working knowledge of basic computer systems to include Microsoft Word and Excel
Strong data entry skills required10-key by touch

License/Certification/Registration
None.

PREFERRED QUALIFICATIONS
Prefer one-year experience in criminal justice, legal or judicial field.
Prefer experience with court case management systems

Must be able to search the computer database and retrieve information quickly.

PHYSICAL REQUIREMENTS
Lifting and Carrying
Must be able to lift/move/maneuver files and supplies weighing 2 to 25 pounds using assistance if needed.

Body Position
Standing, sitting long periods of time at desk. Moving about to and from courtrooms, offices, and other divisions. Bending, stooping to get files.
This Position requires the ability to input large amounts of data using repetitive motion on a consistent daily basis.

Hearing
Must be able to hear and respond to all communication from customers at counter, general questions from public and employees, and telephones simultaneously.

Vision
Employee uses vision to read electronic court orders and enter data into computer, as well as watching for disruptions in Court area.

MENTAL REQUIREMENTS
Mathematics
Must have basic addition and subtraction, use computer or calculator to do mathematical calculations of fines and fees.

Remembering
Must remember actions taken on cases and can answer to questions asked regarding court procedures.

Language Ability
Must be able to read Court orders, interpreting for defendants and witnesses; read electronic files, memorandums, letters, and other documents pertaining to position.

Reasoning
Must be able to make sound and timely decisions whether to send a customer into court, accept a fine payment, etc., based on knowledge of policy and procedures.

WORK ENVIORNMENT
Work involves dealing with angry citizens and may involve potential for error (i.e., errors affecting an individual’s driving record, resulting in false arrest, or errors in cash transactions).
Work involves continuous interruptions, strict deadlines, time constraints, a high volume of work, and the need for rigorous attention to detail.
Sporadic exposure to physical risk when dealing with the criminal element.
Work is performed in an office environment where an elevated noise level may exist.
Frequent contact and demands from the public, other employees in the work unit, as well as employees in other units.
Work involves dealing with emotionally distressed, difficult, frustrated, and possibly belligerent individuals.
Involves working in multiple projects simultaneously and usually under strict legal guidelines.

Full-time employees earn 8 hours per month. Part-time employees earn 6 hours per month.

VACATION
Full-time employees with less than five years of service earn 8 hours per month. Part-time employees with less than five years of service earn 6 hours per month.
