Basic Job Function:
Working under general direction, performs work independently and as part of the Inside Sales Team, including the Territory Team which includes Territory Sales Representative, Project Coordinator, and Sales Engineer and/or customers. Primary responsibilities include communicating with customers and representatives to ensure all material required for proper quoting is received and is accurate, ensuring that the quote presented for bid is in accordance with the strategic parameters of Peerless Products, and proficiently providing estimates on projects in a timely and accurate manner. Responsible for obtaining proper information needed for estimates, whether it be in communication with the sales representative or customer. Sales Coordinators are responsible for keeping customers up-to-date on product offerings and educating customers on best product offerings and applications for projects. Responsible for staying in contact with representatives and customers throughout the process of bidding on projects to ensure the best possibility of booking projects. The Sales Coordinator will work with assigned territory Sales Rep, Project Coordinators, and Sales Engineers to provide quotes and manage the active quote logs and send a daily quote log to required persons. Sales Coordinators will be responsible for keeping track of jobs that are lost to competitors in order to get a better understanding of what causes jobs to be lost in order to understand what can be done in the future with given customers. In addition, they will work with the Outside Sales Representatives and/or customer to be their primary point of contact for all estimating relating to Peerless Products, Inc.

Primary essential duties/responsibilities:
  • Manage all takeoffs and requests for quotes in a timely and accurate manner. (expected time frame for completing quotes is 3 days, unless other time frames have been discussed with the sales representative or customer.
  • Ensures the appropriate vendor pricing and/or documentation required for accurate quotations are acquired, documented, and priced accordingly.
  • Ensure all necessary project documentation and communications are handled in a professional and timely manner.
  • Communicate on regular basis with customer/sales rep (daily, weekly, monthly, and quarterly.)
  • Ensure all projects are being bid in the best and most accurate manner to help Peerless Products and our customer have the best opportunity at winning the project.
  • May be responsible for acting as a team/project leader and training other staff in applicable areas of demonstrated expertise.
  • Other duties may include supporting other departments or territories as needed or as business needs determine necessary. (Sales Coordinators are expected to provide assistance to other sales coordinators or project coordinators when available without causing harm to primary tasks.)
  • All members are expected to be a team player with the company and take extra steps to benefit the needs of the company.
  • All work must be performed in the facility and with team members

Skills and Qualifications:
  • Duties require knowledge of, and the ability to use well, the fundamental concepts and practices of sales.
  • Education: High school diploma or equivalency
  • Experience: 1-3 years work experience.
  • Must have excellent written and verbal communication skills and be people oriented and customer driven.
  • Must be proficient in the use of Microsoft Excel, Microsoft Word, Microsoft Internet Explorer and Microsoft Outlook.
  • Must be willing and able to become proficient in the use of proprietary software package used for estimating and project management.
  • Strong interpersonal skills and the ability to work in a team environment required.
  • Must have the ability to develop technical skills required to perform the job.
  • Must have experience with direct customer sales, service or data entry.
  • Must have the ability to work without direct supervision.
  • Must have a working knowledge of the construction industry.
  • Must have the ability to manage multiple projects simultaneously.
  • Must have the aptitude for detail-oriented work.
  • Must be professional in conduct and communication with coworkers as well as individuals outside the organization.

30 Day Expectations:
At the end of the first 30 days, Sales Coordinator shall:
  • Exhibit proficiency in basic quoting (take-off through Quote Summary) and identify common components and accessories. (This will be measured with the completion of a 30 evaluation which will include a simple quote and a 20-question assessment.)
  • Maintain and communicate daily quote log.
  • Exhibit excellent communication skills.
Leadership will require improvement activities if deficiencies are found in any area of performance.
All quotes will require a peer check.
60- Day Expectations:
  • Sales Coordinator shall exhibit progress in the quoting procedure including communication with assigned sales rep and customers, begin making product/option recommendations for quoting, and demonstrate improved proficiencies in creating quotes of increased complexity.
  • Demonstrate ability to manage workload and complete quotes in a timely manner.
60-day evaluation will be made and any issues can be identified and a plan for correction will be created to assist in Sales Coordinator’s progress.
All quotes will require a partner check.
90 Day Expectations:
  • Sales Coordinator shall exhibit the ability to generate quotes with minimal guidance including thorough understanding of quoting strategy, the incorporation of Value Engineering (VE) options, territory performance, and increasing product knowledge.
  • Quotes will be checked as required (Partner, Lead, Supervisor) Quotes under $100K may or may not be required to be checked and will be at the discretion of Trainer, Lead, or Supervisor.
  • 90 day evaluation of overall performance will be given and a plan to improve any deficiencies will be created.
120 Day Expectations:
  • Sales Coordinator shall be given a territory or specific projects to manage.
  • Projects need to be managed and completed with clear expectations and communication to the customer.
  • Customer should understand clearly what is needed to provide accurate and timely quotes.
  • Sales Coordinator should also understand Peerless’ process and procedures for providing timely and accurate quotes.
  • All documentation pertaining to any quotes shall be scanned and documented.
  • Sales Coordinator should fully understand what is required of the Sales Coordinating position.
As a Sales Coordinator, you will play a vital role as part of the team. A major function of your role as Sales Coordinator will include your position within the Territory Team, which will be further explained in the Standard Work and will be explained as part of your training. The essential function of the job requires the employee to be working full time at the Peerless facility.
All Sales Coordinators will be graded on internal performance and goals set forth by management.
