WHAT YOU'LL DO

This role is client facing and will oversee the management and leadership of an onsite audio visual (AV) meetings and events production team responsible for supporting the coordination and execution of corporate events. The AV Events Manager is responsible for ensuring a consistent, high-level of service for the client account including the successful operation of all event needs. The AV Events Manager is also responsible for building partnerships with the client team and supporting vendors who provide cross-functional services for all events.


Day-to-day responsibilities

Program Management

  • Serve as the primary point of contact for the client to ensure alignment on event goals and service requirements for the program.
  • Act as the single point of contact for escalation of new business needs, new projects, and service issues.
  • Lead relationships with management of various AV teams and vendors for customized and cross-functional event needs.
  • Provide ongoing feedback on how to improve event experiences including in-person, hybrid, and virtual event logistics.
  • Provide client with recommendations on event industry best practices and operational standards.
  • Oversee tracking of all data and metrics to ensure measurement of Service Level Agreement (SLA) goals and provide baseline data around usage of event venues.
  • Collate data and metrics to track trends and staff utilization, provide information on productivity improvements, and illustrate how to operate service efficiently.
  • Oversee any program level billing needs including creation of monthly invoices and management of actuals.

AV Event Management

  • Partner with team leads to ensure successful execution of event requirements.
  • Establish a process for the creation and distribution of all documented processes and workflows including operational manuals for established and new services to establish consistent best practices.
  • Oversee the coordination of event production needs including crewing and equipment rentals with partner vendors
  • Ensure minimum staffing levels are always met and oversee the development of contingency and backfill plans including local freelancer pool development.
  • Develop and oversee scheduling processes for all internal and external production support resources for all events.
  • Assess current processes and personal performance and hold review with personnel inclusive of corrective measures as necessary.

Team Leadership

  • Establish training program to develop personnel and ensure they have the skillset and knowledge to effectively perform their roles.
  • Provide recommendations for advancing skillsets and training opportunities for all personnel as well as execute on training needs recommended by client.
  • Ensure all personnel adhere to response time for requests, escalation, maintenance tasks, and resolution of facility and technical access issues as defined by the Service Level Agreement (SLA) requirements.


WHAT WE'RE LOOKING FOR

Must-have skills & job qualifications

  • 7+ years of experience in AV event coordination, live event production, or venue management.
  • Experience leading and developing a team.
  • Strong leadership and team collaboration skills.
  • Experience mentoring, training, and listening to others.
  • Experience in onsite, virtual, and hybrid AV live events.
  • Experience in event coordination including database and scheduling management.
  • Experience coordinating logistics with multiple AV vendors or video production companies.
  • Ability to maintain a positive attitude, even during pressure situations.
  • Ability to communicate challenging aspects to clients while maintaining a high level of confidence and leadership.
  • Track record of being organized, detail-oriented, flexible, and working well in a team atmosphere.
  • Strong work ethic, self-direction, self-motivation, patience, persistence, and the ability to get along with coworkers and customers.
  • Consistent proactive preparation and responds in a timely manner to multiple channels of communication.

Nice-to-have skills

  • Hands-on experience with video production and audio-visual technology.


OTHER REQUIREMENTS

  • This is an onsite position, and it is required to work onsite at the client’s East Hanover, NJ location.
