Job Description
Description: The Assistant Registrar works with the Registrar in administering the academic policies of the university. The assistant is directly responsible for maintaining the academic records for all students and for the certification of graduation eligibility. The assistant plans and coordinates graduation rehearsal and graduation. The assistant maintains the records for students receiving Veteran Administration educational benefits, certifies eligibility for those benefits, and ensures compliance with VA and State Approving Agency regulations. The assistant must have the ability to work accurately under pressure and to meet deadlines. The person in this position must be service oriented in carrying out the duties of this position and must be able to work well with administration, faculty, staff, students, and outside agencies. Occasional evening and weekend hours required.
Qualifications: Bachelor’s degree plus experience in higher education administration preferred. Applicants must have excellent interpersonal and communicative skills, be proficient with Microsoft Office Applications, and have an aptitude for learning new computer applications. Applicants must be well organized, give close attention to details, and be able to handle various duties simultaneously. Additionally, applicants must be customer service oriented, work well in teams, and be a self-starter.
Essential Functions:
  • Maintain academic records—making adjustments such as transfer credits, grade changes, major changes, advisor changes
  • Prepare Senior Evaluations for graduation eligibility
  • Hold personal conferences with candidates for graduation to discuss graduation eligibility
  • Calculate graduation honors, Alpha Chi, Honor Program, and Heritage recipients
  • Plan, coordinate, and communicate graduation rehearsal and graduation
  • Order diplomas, diploma covers, and other graduation materials. Ensure proper mailing of items to those not participating in the ceremony
  • Certify graduates in the student information system
  • Advise students applying for Veteran Administration Educational benefits; and process VA certifications each semester
  • Monitor academic progress for VA eligibility and ensure that the standards for the VA Principles of Excellence are being followed
  • Assist with other computer applications related to academic records—schedule adjustments; management of academic plan
  • Provide reports to various constituencies in a timely manner
  • Assist in transfer evaluations and visiting/transient student form requests
  • Administer the notification to Juniors and Seniors summarizing their progress toward degree completion
  • Act as an ex-officio member of the curriculum Committee or AASFA (on behalf of the Registrar’s Office). Informing the Registrar of the meeting notes and/or updating the Curriculum Spreadsheet
  • Making Curricular changes in Colleague- Includes updating course titles, description, pre-requisites, etc.
  • Create (writing and coding) new programs in Colleague
  • Responsible for updating Academic programs in Colleague each year
  • Update student records with course substitutions and requirement waivers
  • Maintain and update the Academic Catalogs – Undergraduate and Graduate. Work closely with the communications department to format and produce published catalogs each year
  • Field telephone, email, and in-person questions.
  • Act as back-up to the Administrative Assistant in regards to transcript requests and other miscellaneous duties.
  • provide updated information as needed for Registrar’s webpage
  • All documents and other records, whether in paper, electronic, or other form, that contain or reflect any confidential information are kept as such.
  • Perform other duties as assigned by the Registrar
