Job Duties

The Mission of the Ohio Department of Commerce is promoting prosperity by protecting what matters most.

The Division of the State Fire Marshal keeps Ohioans safe when they are at home, and out and about. This includes modernizing and enforcing the Ohio Fire Code; training and certifying firefighters; teaching fire prevention and safety education to businesses, industry, schools and the public; investigating the origin and cause of fires and explosions; and regulating and licensing fireworks companies, underground storage tanks and other fire-related industries.

What You'll Do:

  • For the Division of State Fire Marshal provide general secretarial assistance
  • Answer telephones and handle face-to-face customer inquiries
  • Receive, sort and distribute mail
  • Scan and log documents into data file
  • Independently manage system of data collection & records, electronic and hard copy files
  • Control distribution of files
  • Enter information into a data base to update computer files, print invoices, licenses, certificates, and permits
  • Respond to inquiries and requests
  • Maintain communication with various bureaus, sections, institutions and government sectors
  • Prepare correspondence, works on special projects
  • Generate reports and assist other office personnel
  • Assist in the administration, proctor and grading of on-site/off-site licensing examination

The ideal candidate for this position will be able to:

  • Handle a variety of multiple tasks in a fast-paced office environment.
  • Possess excellent office practices and skills such as typing, filing, answering telephone inquiries and handling walk-in customers.
  • Operate a personal computer and navigate with ease between multiple software programs.
  • Scan/image documents using a flat scanner and index documents using imaging/file storage computer software.

Qualifications

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.

For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.

Knowledge of English grammar & composition; arithmetic that includes addition, subtraction, multiplication & division; records management; business communications; administrative practices & procedures*; general office practices & procedures; agency-specific office practices & procedures*.

Skill in keyboarding; business office software applications (e.g., Microsoft Office); operation of personal computer & office machines (e.g., transcribing equipment, calculators).

Ability to deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; move fingers easily to perform manual functions; assess questions & provide appropriate information or referral.
