The Administrative Coordinator will be responsible for providing administrative support for the direct reports in the office of the Dean, John W. Garland College of Engineering, Science, Technology and Agriculture (CESTA) and the Director of the 1890 Land Grant Programs.Duties and Responsibilities: The successful candidate will be responsible for assisting the CESTA support team in conducting CESTA and Land Grant Program delivery and other external grant funds. Works with the Dean/Director’s Administrative Coordinator II to ensure the daily efficient operation of the office.

General Administrative Responsibilities for CESTA/Land Grant support team:
  • Produces information by transcribing, formatting, recording, editing, retrieving, copying, and transmitting text data and graphics.
  • Assists by researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Assist with event and program preparation, planning and execution.
  • Assist with maintaining the departments other office staff’s appointment schedule and with planning and scheduling meetings both in-person and via Teams, conferences, and travel.
  • Assist staff in Dean and Director’s office coordinate, arrange and prepare official travel as directed.
  • Reconciles Dean and Director’s office monthly ProCard reports.
  • Welcomes guests and customers by greeting them in-person or via telephone, answering or directing inquiries.
  • Manages critical/time sensitive projects as needed for the unit.
  • Establishes and maintains files and ensures completeness and accuracy.
  • Prepares reports by collecting and analyzing information.
  • Assists to provide historical reference by developing and utilizing filing and retrieval systems.
  • Records meeting discussions and take minutes.
  • Maintain professional and technical knowledge by attending educational workshops, reviews professional publications; establishes personal networks, and participates in professional societies as directed.
  • Contributes to team effort by accomplishing related results as needed.
  • Completes other duties and responsibilities in the Dean’s office.
Minimum Qualifications
  • A Bachelor’s Degree is required, a minimum of combined five years of professionalexperience in business, education, administration, or related activity is desired.
  • A successful candidate should be able to assist the departments supporting Directors tomanage programs, operations, and activities of the Land Grant Program in coordinationwith college activities.
  • The ability and willingness to work collaboratively, a desire to build administrative andinterdisciplinary relationships, and experience in team building and facilitations.
  • The ability to learn new software programs as needed.
  • Knowledge of current computer/tablet smart system-based technology used in office work,and strategic organizational planning.
  • Ability to work independently of direct supervision.
  • Ability to operate office equipment such as Fax machine, copier/printers, multi-linetelephone systems.
  • Ability to maintain confidentiality.
