What is the role look like?

Administrative Assistant for President/CEO provides high-level administrative support for CARE's leaders to ensure they can efficiently accomplish key tasks and agency initiatives. This person will keep communications organized. The ideal candidate will interact with staff, board members, community members and guests to provide polite, professional customer service. They manage the executive's daily calendar, including scheduling meetings, confirming appointments, scheduling and planning events and conducting light research. Administrative Assistant will be an ambassador of CARE and is a great opportunity to establish working relationships with executives and contribute to the overall efficiency of our organization.

What are the core job responsibilities as the Administrative Assistant for President/CEO at CARE?

  • Provide administrative support to the President/CEO, and on occasion, the executive team members.
  • Efficiently and effectively manages the schedule of the President/CEO.
  • Provides support by demonstrating an understanding of essential meetings and tasks and effectively assists the President/CEO with prioritizing events/tasks.
  • Demonstrate impeccable professionalism at all times and ability to maintain confidential matters.
  • Makes travel arrangements for conferences and other work-related travel when needed.
  • Coordinates meetings and communicates effectively with the Board of Directors; acts as an extension of the President/CEO with the Board of Directors.
  • Establish and maintain effective relationships, internally and externally. Gain trust and respect.
  • Interact professionally with other employees, customers and suppliers. Conducts self as a representative of the President/CEO.
  • Manages on going subscriptions for publications/websites and coordinates payment via agency credit card.
  • Ability to create consistent formatting for reports and documents as needed. Revise, edit and proofread various documents with keen attention to detail.
  • Attends required meetings and records meeting minutes as assigned. May need to communicate with agency staff on progress of tasks that were assigned in meetings.
  • Perform special projects and assume responsibilities as assigned.

What do we need from you?

  • High school diploma or graduate equivalent degree (GED).
  • Proficient in Microsoft Word, Publisher, Excel, PowerPoint and Outlook.
  • Minimum of three years' administrative experience supporting senior and/or executive leadership.
  • Must be a proactive, independent and solution-oriented thinker capable of multi-tasking.
  • Strong initiative, eagerness to lead and ability to work independently while being a team player.
  • Ability to discern highly confidential materials and documents and maintains confidentiality.
  • Ability to prioritize and meet deadlines with a sense of urgency.
