Position Description

Administrative Assistant Responsibilities:

  • Manage seating chart/office layout for the site with the assistance of Facilities
  • Maintain email distribution lists, in addition to site announcements
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Submit travel and expense reports via Concur and obtain necessary approvals
  • Review and approve time off requests in alignment with Head of Site
  • Assist with PowerPoint presentation and calendar management for site and Head of Site
  • Point of contact for Head of Site regarding any office related needs
  • Maintain employee information as it pertains to general information needed for Head of Site
  • Coordinate and manage on-site visits, including catering, conference rooms, site tours
  • Facilitate the logistics and plans for employee engagement events
  • Acts as liaison to the HR Representative in alignment for the Beverly Site
  • Manage other administrative personnel
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains a system for recording expenses and the use of P-card.

HR Representative Responsibilities:

  • Guide and support employees and local management on relevant HR matters
  • Maintain an understanding of current state employment law and HR Best Practices; support applicability of employment law and company policy
  • Assist in new employee onboarding process
  • Maintain organizational charts and distribution lists for Beverly Operations Business Area
  • Maintain headcount and cost centers for budget preparation and reviews
  • Support recruitment efforts including outreach, interview coordination, sourcing
  • Draft, communicate, and update office guidelines and policies

Position Requirements

  • Associates degree desired
  • Three to five years of experience in an administrative role
  • Proficient in Microsoft Office Suite or related software

Personal Requirements

  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently
