Summary:

The purpose of this position is to provide a broad range of administrative, organizational, and functional coordination of activities and support to executive leaders.

Essential Duties & Responsibilities:

  • Prepare professional reports, correspondence and presentations using the Microsoft suite, Visio, etc.
  • Prepare materials for presentations and meetings; Proof read, copy, collate and distribute materials as needed.
  • Facilitate internal alignment within the team and across programs to coordinate and organize activities.
  • Responsible for appropriate cross departmental communications.
  • Record and distribute minutes of meetings to all participants; provide timely and accurate follow-up.
  • Maintain corporate files as appropriate.
  • Acts as a resource as needed to support other departments when requested.
  • Manages resource allocation and in budget processes for applicable projects.
  • Communicates regularly with the team to ensure activities are aligned with departmental and corporate strategies and objectives.
  • Answer telephone and email inquiries (from internal and external constituents).
  • Maintain calendars and coordinate travel and hotel arrangements, including creation of itineraries and preparation/completion of expense reports.
  • Schedule conferences/meetings and reserve internal and off-site facilities.
  • Maintain corporate files as appropriate.
  • Assess current administrative practices and recommend/implement improvements in systems and procedures
  • Perform special projects and assignments, as required.

Education and Experience:

  • Minimum 3 years’ experience administrative capacity.
  • Associates Degree from accredited college or university; 2 years additional corporate administrative experience may be considered in lieu of education.

Qualifications:

  • High proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Access); experience utilizing Concur desired.
  • Demonstrated high attention to detail.
  • Excellent oral and written English communication skills.
  • Demonstrated ability to interact effectively with staff at all levels of the organization.
  • Ability to manage multiple responsibilities, set priorities and meet deadlines.
  • Demonstrated excellent organizational, time management, problem-solving skills.
  • Proven excellent customer service and interpersonal skills.
  • Proven ability to work proactively in a fast paced and changing business environment under minimal supervision.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit, talk, move between spaces, reach with hands and arms, and stoop. Close vision and the need to focus on computer screen, use of hands, fingers and wrist to type on keyboard and manipulate mouse.
