Primary Responsibilities

  • Greet employees and visitors
  • Answer and direct telephone calls
  • Reserve conference room space and help facilitate conference calls
  • Assist Managers with catered lunches
  • Assist Managers with document production
  • Coordinate travel arrangements for staff
  • Process expense reports for staff
  • Complete word processing as needed including letters, memos, reports, and labels
  • Proofread and edit documents for grammar, spelling, punctuation, and format
  • Assist with meeting agendas, minutes, and formatting of reports as needed
  • Printing/compiling/binding project specifications and other documents
  • Coordinate larger print jobs with a corporate printing company
  • Shipping and receiving mail/packages
  • Maintain office supplies
  • Assist with internal recognition/award events
  • MS Teams and SharePoint site maintenance
  • Perform other duties as needed

Qualifications


Required Qualifications

This is a progressive position and the ability to adapt to the various needs of the project managers and administrative team is crucial. This position requires strong interpersonal, organizational, administrative, and multi-tasking skills and a positive attitude and team approach.

  • High School diploma or equivalent
  • Proficiency with Microsoft Office including Outlook, Word, Excel, PowerPoint, and Adobe.
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Self-motivated, well-organized and detail-oriented
  • Ability to handle confidential information
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Preferred Qualifications

  • Minimum 3 years of experience in a corporate environment
  • Bachelor's and/or Associate's degree
  • Knowledge of architecture, engineering, or construction terms helpful
